Background • Data Management Committee (DMC) … • Established • In December 2006 by the Provost • Accountable to Sara Gomez, Vice Provost of Office Information Management / CIO. • With • UW-wide scope • Mike Eisenberg, Chair, Dean Emeritus of Information School • Web Site http://www.washington.edu/provost/oim/dmc/ . • Meets • Biweekly • To get things done.

  5. Tasks • DMC establishes definitions of assets including… • Institutional Data • Institutional Metadata • Systems of Record • Institutional Data Repositories • Department / Unit / Local Data Repositories

Tasks • DMC establishes policies around the usage, access and meaning of Institutional Data… • Institutional Data shall be managed as a key asset! • Institutional Data shall be accessible according to defined needs and roles. • Unnecessary duplication & maintenance of Institutional Data is discouraged. • Institutional data shall be protected. • Institutional metadata shall be recorded, managed, and utilized. • Quality standards for institutional Data shall be defined and monitored. • Institutional employees have clearly designated and accountable roles and responsibilities.

  7. Tasks • DMC establishes the UW Data Map, a business and data classification created for… • Identifying and Assigning “Data Owners” and “Data Custodians” • Organizing and planning data management projects • Identifying “Master Data” (touch points across all systems)

Tasks • DMC establishes security roles and access policies for… • Role Based Access to Institutional Data • Security Classifications (i.e. Confidential, Restricted, Public) • Defining Access Principles like “Access of Least Privilege” & “Separation of Duties” • Controlling Access to Institutional Analytics

Seminal Project • Deans’ Top 5 Questions • Collaborative effort among Deans, Chancellors, staff and faculty across the entire UW… • 17 issues identified; 9 resolved; 6 in progress; 2 not started • Created 10 new short term reports (Currently being tested by 50 Deans’ and Chancellors’ “Go To” people) • Documented 34 “Institutional Definitions” • Created new institutional report standards & guidelines • Established initial framework of a repeatable process for dealing with complex definitional issues • Developed plans for short, mid and long term recommendations

  12. Future • Continue - work on data management tasks • Coordinate - with Roadmap and other data and systems efforts • Communicate - widely and in various forms • Culminate – as a valued institutional asset for identifying and resolving data management problems and concerns.
