  2. What this presentation contains: • An introduction to the data collection process: • Paper data collection • Child/Youth Form • Meeting Form • TDM CA database • A brief overview of the quarterly report process • References and contact information

Overview • TDM CA was developed to assist counties in collecting TDM meeting and child information. • TDM CA allows counties to create basic reports regarding attendance, meeting participants, children involved, etc. • TDM CA data combined with the California Children’s Services Archive (CCSA) will provide counties with outcome data and quarterly report information for self-evaluation.

TDM Data Collection • The TDM Meeting Form and Child/Youth Form capture basic information about the TDM • Forms designed to reduce redundancy with information are available in CWS/CMS • Counties can modify forms to suit their needs as long as basic information remains • Forms mirror TDM CA database

  5. TDM Data Collection Details • Meeting Form captures information about: • Location • Primary reason for meeting • Process (people leaving meeting and why) • Attendance • Children involved

  6. TDM Data Collection Details • Child/Youth Form captures information about: • Youth involvement reason • Decisions (i.e., Change placement, return home) • Recommendation for out of home placement type

  7. Data Collection Detail Summary • VERY important to have Facilitator’s Data Entry Guide (previously called User’s Rules) in place • Keeping track of customization [if applicable] • Consistent use of forms and entry into database by people involved in TDM project

  9. TDM CA Customization Options • Counties can easily customize locations, facilitators, decisions and recommendations during installation process. • Other customization options are possible, such as adding parent level data, but require advanced knowledge of MS Access.

  12. Self-Evaluation and Reporting The quarterly report provides summary information on meeting frequencies, attendance, decisions and outcome information for each meeting type. Much of this information can be pulled from TDM CA. Remaining information will be derived from the California Children's Services Archive (CWS/CMS data).

  13. Reporting Process • Quarterly Reports will be produced in county using TDM database reports and sent to AECF • Semi-Annually, counties will export data from database and send to UC Berkeley to link to CWS/CMS. UCB will then send linked data back to county for completion of report

  16. TDM CA to CCSA linkage CCSA contains data for all CA counties Linkage allows counties to keep TDM data collection to a minimum, only focusing on items unique to TDM process

  17. Linkage Methods • Counties prepare a report using the export tool, providing UCB with meeting and child information to link • UCB matches children from TDM to CCSA on client numbers • UCB then retrieves child information (placements, moves, demographics) and summary county information

  18. Linkage Methods, con’t UCB returns linked child information and summary county information to the county and they complete the report and send to AECF
