  2. How To Create Signatures That Append To The Emails Automatically? Having a signature at the bottom of the mail gives an impression that you are a professional. A signature must include all the necessary information such as your personal info and business related details.

  3. You must have seen that in some emails there are names, address and phone numbers written at the bottom. Every time you get an email from a particular sender, you see his/her name, phone number and address written with no difference with the previous information. Well, the sender is not writing that information again and again, but it is his/her signature. Not like the signature you do on a piece of paper, but a signature in an email means the text that are appended to the message automatically. There can be any information in the signature, as this part is fully customizable. Simply putting, signatures are nothing but contact information put up by the people. • There are different types of signatures available these days, and what signature you can have depends upon the email service provider you are connected to.

  4. Plain-text signatures • If you wish to use plain-test signatures, then you have to obviously configure it. So, enter the text that you want to display in the email that you send to others. A good thing about plain-text signatures is that it can work with messages formatted both in text and HTML.

HTML signatures • If you are interested in using HTML formatting in your signature, then you will have to tick mark the option of ‘use HTML’ followed by formatting the signature text with the HTML mark-up of your choosy. When you send emails in text instead of HTML format, then you will see the text characters getting switched with HTML mark-up.

  7. If your email service provider allows you, then you can upload a file containing your signature. You will find an option where it says ‘attach signature from a file’, which you have to click. Then, you can choose the file that you think would be appropriate in the place of signature. You can upload a file that contains either HTML formatted text or plain text. There won’t be any difference except that the receivers must be able to read HTML formatted emails in their email platforms. In case, they have disabled this service, then the signature will just be displayed in the text format with no displaying of the images.

  8. If you want to create a HTML formatted signature, then you can easily display it using various online tools. If you are not able to see the HTML formatted signature, then you might be composing the message formatted in text, so you have to switch it to HTML. Here is how you can do it. • Just compose the signature and choose the format of it. • Click file followed by Save As and then, File. You have to make sure that only HTML files are chosen by you. Specify the name of the file and click Save. • Close the message dialog box and don’t save the message.

Open account settings followed by selecting of the email account in the left panel. • Tick mark on the option that says, “Attach signature from a file” followed by clicking ‘Choose’ button and going to the file that you have made. • There is an option to add images in the signatures, which you can do from your PC or the web. But, make sure that the images are not large in size, otherwise, your email will get bulky. People will start avoiding your emails because of long loading time. So, make sure you keep it straight and simple. Your signature should serve your purpose and nothing else.
