  3. PROVIDES: Nutrition Education Referrals to other health services Checks for supplemental foods WIC Program SERVES: Women Pregnant Post-partum Breastfeeding Infants Up to 1 year of age Children 1 up to 5 years of age

  4. WIC Program To be on the program, a person must: • Meet age requirements • Live in the state of Kansas • Be at nutritional risk • Meet income requirements

  5. Your part in the WIC Program • Couldn’t do it without you! • WIC Clients would not be able to purchase the healthy foods issued to them on WIC checks • Vendors help make our program a success in Kansas!

Incentive Items • Incentive Items are offers that are provided to customers to entice them to visit your store, e.g. buy one, get one free or free diapers if the customer buys formula at your store. • Incentive Items are allowed ONLY when the offer is for ALL customers visiting the store, not just targeted to WIC clients.

Required Resources • Door Decals – these are required so clients know your store is WIC Authorized. • Shelf Labels – these are required on all eligible WIC foods so clients are choosing allowable WIC products. • Program Booklets – these are required so cashiers can easily verify WIC products. The first section of both the client and vendor program booklets is exactly the same to ensure both the client and cashier are looking at the same qualified items. • Vendor Check Stamp – this is required so the store can accept and deposit WIC checks.

WIC FOODS • Canned Fruits and Vegetables • Any variety • Regular or low sodium • Without added syrup, sweetener, flavoring, fat, oil, sauce, meat, pasta, rice or noodles • Cannot buy: • Russet, white, red, yellow, blue or purple potatoes • Sauerkraut, baked beans, pork and beans, black beans, kidney beans, navy beans, split peas, lentils, other mature legumes, soups, ketchup, relishes, condiments, pickled vegetables and olives

  26. Minimum Stocking Requirements

  27. Minimum Stock The Kansas WIC program has established minimum stock requirements for the following food categories: • Infant Formula • Milk • Cheese • Eggs • Juice • Cereal (Infant/Breakfast) • Peanut Butter • Baby Food • Canned Beans • Fish • Fruits and Vegetables • Whole Grains

Minimum Stock • Keep shelves stocked or products available on-site to satisfy the Kansas minimum stock requirement at all times. • For example, if you do not have enough shelf space to accommodate the amount of concentrated formula, you may have a couple cases stacked in the back room. That would be considered product available on-site. • Have on the shelf for purchase a reasonable choice of authorized WIC approved foods. The specific brands, package size and quantities required are listed on the Minimum Stock Requirements form.

Minimum Stock Exemption • Vendors may request exemptions from minimum stock requirements from their Local Agency. • Exemptions from minimum stock can be requested for powder and concentrate varieties of the contract infant formulas. • Similac Advance • Similac Sensitive Fussiness & Gas • Enfamil ProSobee • Exemptions from minimum stock can be requested for baby food.

Minimum Stock Exemption (cont..) • Approval is granted by the Local Agency (LA) on a case by case basis. • The LA will monitor their client base and when infants come on the program the LA may cancel the exemption at any time. • Vendors are required to get the formula in within 72 hours once a client has requested to use their check(s) at the store.

  31. WIC Transactions Two Kinds of WIC Checks • WIC check • Fruit and Vegetable check

Read the Check! • Each client has access to the basic foods approved through the WIC program but some clients may have subtle changes made to their food package. • Each check is a ‘prescribed’ food package that meets the client’s unique nutritional needs. It is very important that both the client and cashier are READING the foods prescribed on the check! • And dollar amounts may vary from client to client.

WIC Transactions • WIC Check – a check used to obtain specific foods • There is a list of foods authorized for purchase on the check • There are no other tenders allowed in this transaction • Fruit and Vegetable Check (FVC) - A fixed-dollar amount check used to obtain approved fresh, frozen, or canned fruits and vegetables. • There is dollar amount printed rather than a list of foods • The client is allowed to pay for overages to the amount printed on it

  36. How to Complete a WIC Check Transaction Instruction for both the Fruit and Vegetable Check and the regular WIC check

  37. Completing a WIC Transaction – Step 1 • Check the dates in the “First Day to Use” and “Last Day to Use” boxes. • Do not accept WIC checks before or after these dates. • Write in today’s date in the box provided.

Completing a WIC Transaction – Step 2 • Ask for the proper identification from the WIC customer. • Proper identification is any type of photo identification, expired or valid, from the United States or other countries or a WIC Program ID card (which has no photo). • Compare the customer’s name on the WIC check with the name of the identification provided

  39. Completing a WIC Transaction • What if a WIC customer doesn’t have a photo ID? If a WIC client does not have a photo ID, the Local Agency will issue a WIC Program ID. This may be presented as identification during a WIC transaction. Front Back

Completing a WIC Transaction – Step 3 • Verify the WIC customers selection of foods matches the items listed on the WIC check. • Remember to only allow up to the quantity listed on the WIC check • Count the ounces of cereal and whole grains the customer brings up • Make sure the customer purchases the types of foods listed on the check • Only allow items listed on the WIC check • E.g. make sure the customer purchases the correct size and fat content of milk that is listed on the WIC check

  41. Completing a WIC Transaction – Step 3 • Verify the WIC client’s selection of foods Use the WIC Program Booklet as a guide; it answers questions about what is not allowed. TIP

  42. Completing a WIC Transaction – Step 4 • Ring up WIC items • Each WIC check must be processed as a separate transaction Ring up the items in the order listed on the WIC check. Then you will be able to look at each item carefully and make sure the quantity and type is right! TIP

  45. Completing a WIC Transaction – Step 6 • For a FVC • Ring up the fruits and vegetables • Write in the actual purchase amount, up to the amount printed on the FVC. Do not write an amount over the amount printed on the FVC. 3/10/14 5.82

  46. Completing a WIC Transaction • If a WIC customer brings up a FVC for $6.00 and has $7.50 of fruits and vegetables, what do you write on the FVC? 3/10/14

  47. Completing a WIC Transaction - FVC • If a WIC customer brings up a FVC for $6.00 and has $7.50 of fruits and vegetables, the client can pay cash for the $1.50 difference. • The difference is subject to tax and the client would pay the difference in the amount of $1.63

  48. Completing a WIC Transaction – Step 7 • Write your initials in the “cashier’s initials” box. Use black ink • WIC customers may use coupons, specials and store discount cards • WIC customers may not be issued rain checks, refunds and I.O.Us. 3/10/14 JD 25.83

  50. Completing a WIC Transaction – Step 9 • Return the customer’s identification and • Offer them a receipt for their WIC purchase • Vendors must keep receipts for a minimum of 30 days • The WIC check number should appear or be written on the receipt
