Structure • Four main “gatekeepers” in course approval process: • Department Curriculum Committee (DCC) • College Curriculum Committee (CCC) • Senate Curriculum Committees • Administration (Dean, VP for Academic Affairs) • CCC has 7 voting members: • 1 from Senate C&I • 1 from Senate Grad Studies • 5 Elected by CAS faculty • 1 non voting Dean’s office liaison Senate has 2 committees: 1. Curriculum & Instruction2. Graduate Studies • DCC composed of faculty memberswithin the department

Structure Department Curriculum Committees • Size, composition, and procedures of committee vary by department and are set by department • Smaller departments may lack a separate Curriculum Committee and in many cases the responsibilities devolve to the Chair or to the department as a whole acting as the committee, so check with your chair if you are unsure about the policy in your department

Structure Senate Committees:Curriculum & Instruction • Handles undergraduate courses • Composition: • 5 faculty/staff members elected by Senate • One faculty member from each of the colleges • Two faculty/staff members elected at-large • 1 student • Members serve a 2 year term with a 2 term limit

Structure Senate Committees: Graduate Studies Committee • Handles graduate courses • Composed of: • 3 faculty members (one from each of the colleges) elected by Senate • An at-large faculty/staff person elected by Senate • A fulltime grad student appointed • Dean of Graduate Studies in a non-voting ex officio capacity • Members serve a 2 year term with a 2 term limit

Structure Administration • Dean • Receives proposal and directs to Curriculum Committee • Approves (or not) recommendations of the Curriculum Committee • Forwards proposal to Senate President • VP for Academic Affairs • Receives proposal after Senate has acted • Approves (or not) recommendations from the Senate • Returns proposal to relevant college administration and, if appropriate, forwards approved proposal to Registrar

  10. Some tips for completing the form to change course name Circle “change” The abbreviatedtitle is necessaryonly if the full titleexceeds 30 characters. If not,then the full title serves as both Note the 30character limitfor the abbreviatedtitle Check “Change” box.Identify the oldcourse name andinclude the coursenumber Be careful. Thecheckboxes switchsides. They appearafter the coursenumber but before the required or elective Make sure you indicate the proposed course level and placein the curriculum “Components” refers to lecture,lab, studio, etc.

  12. Changing Course Name/Number • The Course Proposal Form is essentially the cover sheet for a course proposal • In the case of a new course, the Course Proposal itself is a document structured along guidelines that were developed and adopted by the University Senate Onward to the guidelines

  14. Changing Course Name/Number • In the case of a course name or number change simply attach a brief explanation for the rationale behind the change • In most instances, you do not need to submit a full proposal So what instances will likely require the full proposal?

Changing Course Name/Number • A full proposal may be necessary if: • The change is more than “cosmetic” and indicates a significant content change from the original course. • The number change is a change in level (e.g., undergraduate to graduate; 100 to 300, etc.) • The original course was approved prior to the adoption of the latest Senate guidelines and lacks supporting paperwork for key items on the new form (e.g., outcomes/assessment). Once the proposal is complete, what’s next?

The Process • Attach the cover sheet (the Course Proposal Form) and the statement explaining the rationale for the name change and submit to your Departmental Curriculum Committee (DCC). • After the DCC chair signs the form, the proposal is forwarded to the Department Chair for review and signature

  17. Some tips for completing the form If the course willimpact otherdepartments, those otherdepartments mustbe consulted Both signatures are necessary beforeproposal movesto Dean’s Office. Note: Consultation doesnot mean approval. This signatureindicates that the other department was apprised of thepending change

The Process • After the proposal is approved at the department level, it moves to the Dean’s office for routing to the College Curriculum Committee (CCC) • The Committee reviews the rationale for the change and then can: • Support and approve the chance • Return the proposal and ask for more documentation (ranging from a fuller explanation to a request for a full blown new course proposal)

The Process • If the committee has concerns about the proposal, those concerns are noted and the proposal is returned for revision • Proposals returned for revision are “fast-tracked” to the top of the pile when they are resubmitted to the committee for review. Again, careful review at the departmental stage is crucial. The CCC normallymeets monthly, so the turnaround time from meeting to revision to resubmissionis at best a month, and realistically probably much longer. So even if fast-trackedthe proposal will be in limbo longer than it would need to be.

The Process • Once approved by the CCC, the proposal movesto the Dean’s Office for approval by the Dean • Signed proposals are then sent to the University Senate for distribution to the appropriate Senate Committee (C & I or Graduate Studies) For course name/number changes that do not require a full courseproposal, this step is usually skipped

  21. The Process • After review by the appropriate Senate Committee, the proposal is sent to the Senate floor for approval • Once approved by the Senate the proposal moves to the VP for Academic Affairs for review and approval • Once approved by the VP, the proposal moves to the Registrar’s Office to be assigned a specific number and official entry into the University course database The VP review is pretty pro forma; the VP tends to follow the recommendations of the department, college, and Senate
