  2. Open PowerPoint • The PowerPoint icon is red with three quarters of a white circle. It resembles Pacman. • If the icon is not on the desktop, click on the Start button, go to Programs and choose Microsoft PowerPoint.

  3. Choose the wizard, template, blank or existing presentation.

  4. Choosing a design template • Be careful in your choice of design templates. • If the background color is too dark or busy, the information you are trying to convey will be lost. • You can also choose overall color schemes or individual background colors.

  6. What type of layout do you want your slide to have? • What type of information do you want to convey to your audience? • Text, tables, graphs, pictures are among the choices. • Using the different layouts will allow your presentation to be varied and highlight information.

  8. Changing layout choice • The layout can be changed once the text has been added. • Display the slide you want to change • Choose Format, Slide Format – then choose the new format and click on Reapply. • Depending on your change, you may have to reformat the text to get the desired effect.

  9. Adding a slide Click on Insert – Choose New Slide or click on the white note card that is located on the Standard toolbar . Then choose the layout for each slide.

  10. Adding information to the slide • Each slide has a title and subtitle area of a slide. • Font and size are preset but can be changed. • The font and font size can be changed by highlighting the specific text or changing the font or size before the text has been typed.

  11. Body of slide – with and without bullets • To add bullets: type your text and press Enter. • To indent with a different bullet : Enter then Tab • This also changes the size of font. • Use these icons on the Formatting tool bar to choose bullets or numbers. • To add lines without adding a bullet, press Shift/Enter at the end of the statement.

  12. Changing the view • There is a small toolbar at the bottom of the screen. • This allows you to see your presentation in various formats. • Slide with outline, Outline, Slide, Slide Sorter and Presentation.

  13. Adding a graphic • Click on Insert – Picture, then choose which type of item you would like to insert.

  14. Inserting the graphic • Find the graphic that fits your slide. • Right click on the graphic and choose copy. • Go back to slide and paste the graphic to slide, Resize if needed.

  15. Adding effects • Be very selective with adding animation and sound to your presentation. • Animation and sound can be added to the same text or they can be added independently.

  16. Adding effects • Switch to Slide Sorter view. • Select the slide to which you want to add transitional effects. • Select the Slide Transition Effects list on the Slide Sorter toolbar.

  17. Adding effects to slides • Select the desired transition effect. PowerPoint displays an icon beneath each slide with a transition effect. Click on the icon to view its transition effects. • Continue adding transitions to each slide as needed.

  18. Adding effects to text • Text can be introduced all at once, a word at a time or a letter at a time. You can also introduce text according to the paragraph level you specify. • From the menus, select Slide Show: Custom Animation. • PowerPoint displays the Custom Animation dialog box.

Custom animation • PowerPoint will display the selected item in the preview window. • Click the Effects tab to select the type of effect from the Entry Animation and Sound menu. • Choose any additional options. • Click the Preview button to see the effects before applying. • Click OK when you are done.

  21. Finished entering your information and effects? • Now you are ready to take a look at your presentation. • Go to the Change View toolbar and choose the Slide Show. (Start slide #1, to see entire presentation.) • You may select the slide show view while viewing any slide to see the the effects you have added.

  22. Adding headers, footers with dates and slide numbers • To add a header and footer, go to View then select Header and Footer. • Decide what you want to have on each slide when you present it. You have the option of having the date and time as well as the slide number. • You can also decide what you want to be printed on the handouts.

  24. You are finished! Save your work! • To save your work, select File on the Standard Toolbar, and Save As. • Decide where you want to save this presentation, on a floppy disk, A: or to the Network. • **A word of warning. Many presentations are too large, due to graphics and animation, to save on a floppy.

  25. Saving your work. • To give your presentation within the school, the best choice is to save the file to the network, either on the common drive or your personal drive. • If saved to the C: drive, remember that you will have to be logged onto that computer to retrieve the file.

  26. Retrieving your file • You may open the file by: • Opening PowerPoint then choosing existing files. • File / Open / then choose where you saved the file. • **Special Note - Please do a test run of your presentation on the computer you will be using so there will be no unfortunate surprises.

Printing • There are a number of different options when printing your presentation. • Slides - One slide per page. • Handouts – 2, 3, 4, 6, or 9 slides per handout. • Notes Pages – As you are completing your presentation you can write detailed notes per slide. • Outline View – you can print out what you generally see to the left of the slide you are creating.

  28. Print handouts with note lines • Click on File / Print • Look at the drop down menu at bottom left, choose Handouts and change slides per page to 3 to get 3 slides with lines for notes.
