  3. What • Pilot project • started in 2002 as follow-up to 2001 Clearing House Workshop • current active participants: - UNESCO Brasilia (since 2002) - UNESCO New Delhi (since 2004) Clearing-House Workshop, 8-10 June 2005

What(2) • Decentralized cataloguing/indexing (Field Office) into online catalogue UNESDOC/UNESBIB with centralized quality control (UNESCO Library) • Basis/Techlib software • according to UNESCO Library descriptive cataloguing rules (AACR2 based) and UNESCO Thesaurus • originally: Field Office produced/sponsored documents and publications only • current test phase: integration of all local holdings (Field Office need to avoid a second local catalogue) Clearing-House Workshop, 8-10 June 2005

Why • Increased visibility and accessibility of Field Office produced/sponsored titles (and pdf documents) in online catalogue UNESDOC/UNESBIB • Avoid duplication of work, i.e. cataloguing/indexing of same materials by both Field Office and UNESCO Library • Common cataloguing/indexing standards • Strengthened cooperation with and empowerment of Field Office Doc. Centres Clearing-House Workshop, 8-10 June 2005

  6. How • Provison of Basis/Techlib password and user ID • Supply of descriptive cataloguing and indexing guidelines • Continuous quality control, i.e. revision of each bibliographic record: →regular sending of corrections and explanations (e-mail and fax) Clearing-House Workshop, 8-10 June 2005

Output • Increased visibility and accessibility of Field Office titles in online catalogue UNESDOC/UNESBIB New Delhi- 59 original records- 48 full text- total of 356 holdings Brasilia- 515 original records-143 full text - total of 830 holdings contribution to complete UNESDOC/UNESBIB with UNESCO Field Office produced/sponsored titles Clearing-House Workshop, 8-10 June 2005

  8. Output (2) • Increased multilingual character of UNESDOC/UNESBIB with titles and full text documents in Portuguese • UNESCO Brasilia:succinct cataloguing manual adapted to Field Office Doc. Centre needs (based on Library’s cataloguing standards) contribution to other prospective project participants Clearing-House Workshop, 8-10 June 2005

Conclusion and Outlook • Project success for all involved depends on: • continuous sending of Field Office titles to HQ (pdf via HERMES / paper version) → availability • continuous and frequent UNESDOC/UNESBIB input by same person → routine with cataloguing rules and UNESCO Thesaurus (ca. 7000 terms) • Field Office documentalist/librarian with motivation, professional background and cataloguing experience Clearing-House Workshop, 8-10 June 2005

Conclusion and Outlook (2) • Library’s experience: • constant and fruitful cooperation with Brasilia and New Delhi • time consuming revision and quality control • continuity of catalogue input not always guaranteed e.g. temporary participants: UIS Montreal (non-renewal of documentalist’s contract) ROSTE Venice (documentalist’s lack of time) • local Field Office holdings in UNESDOC/UNESBIB: problem of frustrated Library users if titles listed in catalogue not available at HQ →contact info in bibl. record Clearing-House Workshop, 8-10 June 2005

Conclusion and Outlook (3) • Project extension with additional participating Field Offices: • long-term project • further planning (integration of other Techlib modules?) • requires supplementary Library staff resources for project management (initial training,qualitycontrol, technical optimization, etc.) prospective participants: June 2005 (UIS Montreal) Jan. 2006 (next participant) Clearing-House Workshop, 8-10 June 2005
