Goals for Today Overview of Report Card Maker PC compatible software TUSD Progress Report Time to Explore Software Question/Answer session The goals for today include an overview of the PC version of the Progress Report created by Clear Vision. Although this report card is based on the currently used standards-based progress report, there have been a few changes to align it to the State standards and incorporate the vocabulary used in the AIMS test. We really won’t have time to talk about the changes today—our focus will simply be the technical aspects of using the software on the computer. If you have questions about the format, language, or philosophy of the report card, feel free to call Lisa Long or Vallorie Schlecht at Educational Technology – 225-6278 I will be doing a short presentation to explain how the Progress Report software functions, and then you will be released to go back to your classrooms and enter your student’s names and information into the program. I would also like you to try out each of the options we discuss today to make sure you are familiar with program. I will be available at this time to answer questions and provide one-on-one assistance. I will be circling the school as you work. You can wait for me to arrive, or let the office know you are seeking my assistance. I will check in at the office and get to you as soon as possible.     3. Launching Report Card Maker Start Menu Programs Software RCM3.1 To access this software, you will go the the Start menu at the bottom, left corner of the screen. Move the cursor up to Programs and over to Software. Then click on Report Card Maker.     4. Creating a New Teacher File The first time you open the program, you will need to choose the New button to create a new class file.     5. Main Screen The next screen that will appear automatically is called the Main Screen. This will be the starting point from now on.     6. Student Information This brings up the Student Information window. It holds all the individual demographic information about each student. Use the mouse to click in the First Name field. Type the name and then use the TAB button to move to the next field. Enter the Middle Initial, Last Name, gender and grade level. The Gender designation is important because later, when comments are made, the computer accesses this database to determine whether to put he or she, him or her. If you want to be able to print a progress report in Spanish, you need to also need to identify Spanish in the language section. When you click in that space, a drop-down menu appear. Select Spanish. This will activate the Spanish option. Once a name and the information is entered, you can click the New button to bring up an empty record. This brings up the Student Information window. Saving Teacher Files Use the Save In: drop down menu to find your teacher folder When you click new student for the second time, a dialogue box called Save Teacher File As… will appear on the screen. There are two important boxes on the screen that are used to name and locate your file. First, the Save In: box at the top of the box is used to tell the computer where you want the file to be saved. Usually, it will default to this screen. If it does not, use the arrow next to the Save In… box and click on Teachers at Inst _____.     11. Student Information After saving, you will be returned to the main student information screen. Continue adding new students into the database by clicking on New Student and filling in the information for each child.     12. Setting Teacher/School Information The next task is to enter the teacher and school information.     15. Adding Quarterly Grades To add a grade, click in the box next to the subject. A drop-down menu is displayed. Simply drag the mouse down to choose the appropriate rubric score.     16. Adding Comments To add comments, click in the comment box. You can create your own comment by typing in the Preview box at the top. However, you can also use the E-Z comment option to help you create comments. E-Z Comments are libraries of pre-written comments. Report Card Maker comes with two libraries: The Standard Comment Library and The Primary Comment Library. The Standard Comment Library is a general K-6 library of comments ranging from academic performance to classroom behavior. The Primary Comment Library focuses more on the K-2 students and their academic and social/developmental stages. There are also line libraries that reflect the CORE curriculum performance objective that we will discuss in a moment. Comment libraries are meant to assist the new teacher, be a springboard for creating your own comments and help with those difficult comments. Comment libraries are broken up into categories. Each category has a list of subcategories to assist you in your search for a comment on a specific topic. To select an EZ-Comment, choose the library of comments you wish to view from the Library pop-up menu. In the Category pop-up menu, choose a category of comments from this library. In the Sub-Category field the list of sub-categories will be displayed. Click on a sub-category to display the comments in the Comment list. To add comments, click in the comment box. If you enter more text than can fit, RCM will shrink the text until it does. When you are satisfied with your comment, check for red line/spelling errors. if you are typing in Spanish, the button next to Spell Check is a menu of special characters.You can also change the text size or style from the Text menu.     19. Adding TUSD Objectives Every area of the CORE curriculum is reflected in the Tucson Readiness, Foundations and Essentials Line Libraries. They work exactly like the other line libraries but use the same vocabulary found in the CORE. Instead of putting the child’s name at the beginning of the sentence, it uses a pronoun. For example, one comment may read He or She (depending on the gender selected) predicts outcomes and content from title, pictures, and scanning. This allows teachers to make a general comment using the student’s name and follow the comments up with specific objective starting with he or she. Hopefully, this will prevent the comment section from sounding stilted because the first name is inserted at the front of every sentence. You can even create your own comment libraries and apply them to many students. Below the Custom Comment command is a Search Comment. Use a keyword like addition to bring up all related comments.     21. Adding Special Programs On the second page, there is a place to add support programs in which the child is enrolled. Click behind the words Support Programs. A Data Entry box will appear.     22. Adding Current LAS Score If a Current LAS score is relevant, a teacher can add it by clicking behind the Current LAS score. A drop-down menu will appear.     24. Adding Numbers A drop-down menu will appear. Click one time on the appropriate number and it will appear in the box. Continue in the same way with Days absent, tardy and off roll. Off roll is for students that came late in the year and were not enrolled in school for some portion of the quarter. Page Two Integrated Content Standards Social Studies Science Foreign Language Arts Band/Orchestra Comprehensive Health Physical Activity Educational Technology The second page contains content areas and the learner quality standards. New areas include Foreign Language, also known as FLES, Educational Technology and Workplace Skills. Although these have always been a part of the CORE curriculum, we have never reported to parents concerning these areas. We will now be in compliance with state expectations by reporting on all areas of the curriculum on a regular basis. In addition, there will now be a place to put band and orchestra grades if applicable. Also notice that Comprehensive Health and Physical Activity have been separated so teachers can clearly indicate scores for each. The second page contains content areas and the learner quality standards. New areas include Foreign Language, also known as FLES, Educational Technology and Workplace Skills. Although these have always been a part of the CORE curriculum, we have never reported to parents concerning these areas. Moving from Student to Student Use the drop-down menu in the top left corner to move to another student’s progress report Use the forward/back arrow to move to the next or previous student There are two ways to move from student to student.     32. Keeping Track Sometimes teachers work out of sequence on report cards and like to keep track where they are. Report Card Maker provides a Tracker with which to do so. Below the student name is a menu of tracking colors. Change the color as you complete parts of the progress report. Beside the option that reads “maintain a copy of reports in English and …” use the drop down menu to choose Spanish.     37. Saving a File Saving on Report Card Maker is exactly the same as on Word. Choose File…Save to update information in the same place Choose File…Save as to rename a file or change its location. Progress Report at Home Program can be downloaded at home if you have internet http://instech.tusd.k12.az.us/Progress_Report_Web/index.htm TUSD has a license for Report Card Maker that allows teachers to install the program on a computer at home. It is both PC and Mac compatible. Directions are on our website.
