EOCEP Testing The EOCEP tests are administered to students enrolled in courses where the content standards are taught, regardless of course name or grade level. • Algebra 1 / Math Tech 2 • English 1 • Physical Science • U.S. History and Constitution NOTE: Biology / Applied Biology 2 will not be administered this year.

Student Participation • Remember to arrange for testing for the following students: • Home school students (board approved) • Home-based students • Suspended students • Expelled students with IEPs • Homebound students • LEP students • Foreign Exchange students • Students with disabilities who are enrolled at your site but have been placed in private or nonpublic schools (includes students in residential facilities) Note: See page 10, #9 • Virtual School Students pp. 9 - 11

  5. Test Materials • All materials will be delivered to schools, via district courier, on December 10 or 11 (received in district, Dec. 6 or Dec. 7). • The STC should inventory and verify the school shipment within 24 hours of receipt. • After inventorying your materials, fax the School Materials Receipt Acknowledgement Form (School Packing List) to Suzanne Troiani at 488-6847. • Keep your boxes.

  6. Test Materials / Additional Orders • Test materials were ordered based on the spreadsheet data schools submitted to the Assessment Center in early October. • The online data file was prepared based on SASI data entered on October 31, 2007. Student data has been uploaded and is available so schools online testing can begin creating testing sessions and assigning students to those sessions. • Dates for placing additional orders: Tuesday, November 20 through Thursday, January 17 • Appendix D-1 specifies accommodations permitted for LEP students. If you need to order oral admin test booklets/oral script for LEP students, do so before Winter Break.

  7. SWEET Query The SWEET query is a system for pre-printing answer documents for the EOCEP to reduce the amount of hand coding required on answer documents. The SWEET (SASIxp Web Extract and Export Tool) query was pulled on September 11 to collect fall student enrollment in the courses requiring EOCEP tests.

United States History and the Constitution • Field tested during the spring 2006 administration (2005-2006 school year). • Implemented subject for the Fall 2006 administration and the spring 2007 administration but did not count as a percentage of a student’s final grade. • This year, the USHC exam will count 10% of the students final grade in the course (district decision). • Reports will be posted to the eMS Web site within 36 hours after receipt (same schedule as other subjects). • Paper reports / CDs ???

Test Security Guidelines • Read and understand the South Carolina legal requirements for test security in the TAM and on the Horry County Schools Security Affidavit. • Inventory all test materials upon receipt. • Keep all materials locked in secure storage when not in use. • Do not allow secure materials to be reproduced for any purpose. • Do not allow teachers or others to review secure materials. (Oral scripts permissible 2 days prior to testing in supervised setting, only if not using audio CD) • Do not change a student’s answers or discuss test content with the students or with any other person. pp. 1 - 5

  16. Precoded Answer Docs • Although answer docs are preprinted with student demographic info, some info on the answer sheet must be gridded by hand, either by the student or by the TA. • Instructions for completing demographic info are in Appendix A of the TAM (A-1 through A-5). • If a field is blank on the Pre-ID Student Roster, it will need to be hand-gridded on the answer doc. • If the State ID does not appear by a student’s name on the Pre-ID roster provided by the contractor, the TA should hand-code it on the answer doc.

  17. Pre-ID cont. • If Pre-ID info is incorrect on the Pre-ID Student Roster, do not use the Pre-ID answer doc for that student. • Hand grid all demographic info for that student on a blank answer doc and void the Pre-ID answer doc by placing a DO NOT SCORE label over the bar code. • Return the voided answer doc with the nonscorables.

  18. Pre-ID Answer Documents • Have students print their names in the white space above the student name field on all Pre-ID answer documents. Printing the student’s name provides a secondary method for identifying an answer document as belonging to a particular student. (Turn to page B-5)

  19. Students without Pre-ID or Taking Customized Tests • If there is no Pre-ID answer doc for a student, you must use a blank answer doc and hand-grid all demographic information. (A1-A5) • If you receive a Pre-ID answer doc for a student who requires a customized form of a test, do not use the Pre-ID answer doc. Use the answer document enclosed with the customized materials (Form C/green) and hand-grid all information. Place a DO NOT SCORE label on the Pre-ID answer doc and return with nonscorables. (A-6 through A-10)

  20. Do-Not Score Labels • Do-Not-Score labels are for pre-identified answer documents that are NOT to be scored and for damaged answer documents. • If you have damaged answer documents, transcribe the students answers onto a new answer document and place a Do-Not-Score label on the damaged document. • Place the DO NOT SCORE label on the front cover of the student’s answer document in the lower left corner, over the top of the Pre-ID barcode. • When transcribing demographic data and answers from a damaged answer document to a new answer document, the transfer must be completed by two school personnel and be carefully checked for accuracy.

  21. Security Checklists • The School Security Checklists must be completed each day as the test booklets are checked in and checked out. • A sample of the School Security Checklist is found in the TAM (E-9 & E-10). • Return the white copy of the security checklist in the box with your non-scorable materials. • Send the yellow copy to the Assessment Center via interoffice mail. DO NOT pack the yellow copy in the boxes with your test materials. • Keep the pink copy for your school records.

  22. Secure Test Materials • Test booklets (including all customized formats) • Rulers, graph paper, Reference Information sheets, and/or Periodic Table of Elements sheets with student writing on them • Answer documents containing student information (pre-ID documents or partially completed documents) • Student’s Authorization Tickets for online testing (must return to testing contractor with nonscorables).

  23. Monitor Guidelines • Monitors are recommended • A monitor can be a teacher’s aide, parent, or other district or school personnel. Monitors may not be in rooms where their close relatives are testing. • Large-group administration is not recommended; however, if your school chooses to test in such a setting, one monitor is recommended for each group of 35 students. • Appendix F – Monitor’s Section pp. 12 -13

  24. Calculator Use Policy • Test questions were written so that using a calculator is not necessary; however, students may use appropriate calculators for the Algebra 1 and Physical Science tests.   25. STC Responsibilities • Determine testing schedule (within the district testing window). • Plan an appropriate test setting. • Arrange for testing locations and ensure sufficient space and staff are available. • Notify teachers of the students who are to test. • Ensure that students are notified of the time and location of testing. • Train TAs and monitors (distribute and collect TSAs). • Receive and inventory school materials.

STC Responsibilities, cont. • Arrange for students to use school or personal calculators for the Algebra and Physical Science tests. • Prepare and distribute class packets. • Supervise test administration. • Report any test security breaches to the DTC immediately. • Account for all materials after testing. • Conduct make-up testing. • Return materials to DTC.

  27. Scheduling the Test • The district 5- day testing window is January 7 through January 11. • All four tests must be given within this five-day testing window. • Schools may choose when, during the initial five-day testing window, to administer each test, i.e., • English 1 on the 8th • US History and Constitution on the 9th • Algebra 1 on the 10th • Physical Science on the 11th It is a test security violation if you do not test your students (other than makeup students) on January 7, 8, 9, 10, or 11.

  28. Make-Up Testing • All make-ups must be completed during the week immediately following the five-day testing window (January 14 – 17). Jan. 18 is a student holiday but could be used for testing if absolutely necessary. • Makeup tests may be administered during the 4-day testing window; however, a student should not complete more than 2 EOCT within a single day . • The last day of makeup testing, January 17, is the last day of the semester and a 2 ½ hour early dismissal day for students. • Reports cards issued January 24th.

  29. After Testing - STCs • Collect all materials from TAs • Conduct make-up testing • Package materials for returning to the DTC • Account for all secure test materials • Return materials to DTC

EOCEPCustomized Materials • The following customized materials are available for the EOCEP tests: • Braille test booklets • Large-print test booklets • Loose-leaf test booklets • Form C test booklets • Form C answer documents • Oral administration audio CD-ROMs and scripts • Sign language videotapes (PSE & ASL) Note: The Form C answer document is green.

  31. Oral Administration • Oral administration requires a form C test booklet and form C answer document for each student requiring oral admin. • The oral script is for the TA reading the script during testing or for a TA administering the test to students who are using CD-ROMs. The TA should have a script available for reference during CD-ROM administration, should questions arise. • The oral admin audio CD-ROMs are for students who are completing the oral admin independently (teacher not reading script). The school must provide computers and headphones for each student. • If the students are using CD-ROMs, the TA can not review the oral script prior to testing. Since the student will be listening to the CD-ROM during testing, the script may not be reviewed by the TA. • If the TA is reading the oral script, he/she can review the script up to 2 days prior to testing.

  32. Customized Materials Return Procedures • Identify student materials • The following information should be written on all audiotapes and videotapes used to record testing sessions: • District Name • School Name • Teacher Name • Student Name • Student ID (SASI Number) • Test Booklet Security Number • Return with nonscorables.

Customized Materials Return Procedures • Transferring Student Responses • Transfer all student responses from the customized test booklet to a customized answer document. • Two authorized school individuals must do the transfer, checking carefully for accuracy. • One of the two individuals transcribing the answers also must grid the student’s start and stop times on the answer document.

  34. Customized Materials Return Procedures • Packaging Test Materials • Place the customized answer documents with the scorable materials, under the appropriate completed class sheet. • Place all other customized materials with the nonscorable shipment. • Return all materials to the STC.

  35. CodingCustomizedAnswer Documents • Ensure that all applicable fields are coded correctly. • Code customized materials used, all accommodations provided, and/or code the modification field if the student receives oral or signed administration. • If the student took a makeup test, be sure to indicate Makeup on the answer document. Students taking a makeup test online must also be coded as makeup - select Yes under the makeup option.

  36. Scripts • All teachers giving regular administration or customized administration need a TAM. Teachers administering oral or signed tests will read the directions from the TAM and will be instructed when to begin the oral script, audio CD, or videotape. • Instruct students to print their name on the test booklet. • Instruct students to code and bubble their name on their answer document. • Instruct students to code the form number from the front of their test booklet on their answer document. • Have students code the begin time and end time on their answer document. • TA is responsible for ensuring that all coding is complete and that students are marking their answers in the appropriate area on their answer document.

  37. Important • Do not administer more than 2 EOCT on one day – important for students taking makeup tests. • Use both the HCS Security Affidavit and the security agreement provided by the testing contractor. Be sure to have TAs and monitors sign both of these and keep them on file at your school until the end of the year. • Read the TAM!

  38. Preparing and Reviewing Test Materials • STCs may open shrink-wrapped packages of test booklets and prepare materials for the TAs no earlier than 10 days prior to testing. You can open shrink wrapped packages as soon as you receive them. • Access to secure materials is restricted to supervised sessions conducted by the STC. Supervised sessions for coding answer document demographic info may begin as soon as you receive your materials. • Review of test admin directions in oral admin scripts is restricted to supervised sessions up to 48 hours before each test.

  39. Reports • School and class rosters are available online 36 hours after receipt by the contractor (pdf format – can be saved and/or printed from the web site). • Paper reports and data file will be sent to districts between Monday, March 3 – Wednesday, March 5. • Do not know if we will receive USHC reports/data file in March. Save your USHC school pdf report following testing if you want to be sure you have access to it down the road.
