  2. What Makes PACE Different? • The PACE Awards is designed to recognize excellence in multi-family management. • Judges will provide extensive feedback in each category. • Only one winner will be presented in each category.

  3. What makes PACE Different? • PACE is designed to build teams through improving morale and improving performance. • PMA case studies showcase each winner on PACE’s web site and other social media sites. • PACE establishes benchmarks for excellence.

  4. Judging Criteria • Exterior Curb Appeal – 10 Points • Reception Area, Leasing Center, Front Desk/Lobby – 10 Points • Best Practices-10 Points • Building Interior/Common Areas - 5 Points • Common Area Amenities – 10 Points • Model, Vacant or Occupied Apartment – 5 Points • Maintenance Shop – 10 Points

Judging Criteria – Depends on Entrant Type • Resident Services-accepting packages, watering plants, evening hours, etc. (5 Pts for Market Rate) • Resident Events & Activities-Pool parties, socials, yard sales, etc. (5 Points for Market Rate - Combined with above category for Affordable/Senior 10 pts & Lease-Up 5 pts) • Marketing Outreach-What activities are in place to generate traffic and increase occupancy. (10 points for Lease-Up, 5 Points for Affordable & Market Rate) • Community Service-What activities do you offer that create a sense of community? Food drives, blood drives, after-school tutoring, etc. (5 Points for Market Rate & Lease-Up – not included in Affordable/Senior) • Resident Retention-What is your resident retention plan? Resident surveys, follow up, etc. (5 Points Market Rate & Affordable – Not included in Lease-Up)

  6. Judging Process • Judging will be performed by experienced property management professionals. • The judges will participate in a training session with the PMA staff and PACE Committee Chairs before the judging begins. • Every community will be evaluated by 2 judges with at least 1 judge looking at an entire category to provide consistency. • PACE has taken comments from the last 3 years to implement smart changes to the judging forms to continue to improve the 2014 awards program.

  7. Constructive Evaluations • Each entrant will receive a copy of the judges’detailed evaluation sheets that include strengths and opportunities for improvement.

  8. Recognizing the Best of the Best • Categories will be created geographically for DC, VA and MD. • Categories will be created by your PACE rent price point. • Categories will be created for Affordable, Senior, Market-Rate & Lease-up communities • There will only be one winner presented in each entry category.

  9. Easy Button for Promoting Winners • PMA will provide a marketing kit to help winners promote their PACE Award. The kit will include content that can be added to web and social media sites, print advertisements and other media.

  10. Showcasing Winners • PACE Award winners will be announced at the October Awards Ceremony. • Winning entries will be showcased in the PMA BULLETIN, Social Media Sites, featured on PMA’s website & the PACE website - www.bestapartmentsindc.com.

  11. Property To-Do’s • Place all pertinent information into a 3-ring binder. This will insure the information inside does not fall out in travel. • Follow the criteria and make tabs for each section highlighting your properties “story” what you do and why you do it for your residents. • Please show pictures, flyers and correspondence that makes your property stand out from the crowd. Documents Needed During Judging – Can be placed in Binder • Actual Marketing Materials • Rental Criteria Sheet • Apartment Availability List • Preventative Maintenance Program Documentation • Fire Inspections • Package Log • Elevator License • Alarm System Testing Log • Pool License • Boiler and/or Hot Water Heater License • CFC Logs and/or Licenses for maintenance staff

  12. No judging will take place: The first week of the month Mondays Judging will take place: June through September Tuesday through Friday Between the hours of 9:00AM and 5:00PM Community Judging

  13. Community Judging • Your community will receive a courtesy email the week prior to the judges’ arrival. The judges can show up anytime that next week. Judges will contact the community around 30 min before arriving. • Representatives for your community will escort the judges throughout your property.

  14. Community Judging • Failure to show a model/vacant apartment, if available, will result in an automatic deduction of 10 points. • In the event of a “no vacant” community staff may show an occupied apartment or make an attempt to show benefits of the apartment through photographs, visual tour, floor plans or other means to explain features and answer prospect questions. A return appointment may be scheduled only under special circumstances. • You are unable to win an award if the Fair Housing Poster is not clearly visible in the Leasing or Business Office. Its an automatic deduction of 20 points. • Failure to show the Maintenance Shop, if available, will result in an automatic deduction of 10 points.

  15. Community Judging • When all community judging is complete, the forms will be tallied and winners will be determined based on the percentage of Total Points Earned vs. Total Possible Points. • Communities must achieve at least 90% to be considered for an award. Only one winner will be presented in each category.

  16. Extra Points • Up to 10 Bonus points may be awarded for superior service, company or individual honors, etc. • Bonus points will be awarded at the discretion of the judges. • Please note that a community can also lose up to 10 points for abject failures with the property or staff. • Bonus/Negative points will be added to the final score.

  17. Judge’s Choice-Communities that exhibit extraordinary qualities that deserve recognition but were not the overall winners in their category. Green, Eco Friendly Community-Community with the most advances in energy efficiency and conservation. White Glove - Community with the best overall cleanliness. Technology Savvy - Community making the most significant advances technologically Community Service-Community with the most memorable/active community service program. Transformation/Renovation-Community with most significant renovation or transformation. Potential Special Award Categories!!!

  18. BEST IN SHOW • Best in Show - Community with the highest total point score will get special recognition at the ceremony and electronic media for PMA

  19. Calculating Average Rent • Multiply the number of units by the average rent for each room type = total rent. Then add all those total rents and divide by the total amt of units = PACE Rent • Example – 10 one bedrooms (column 2) x $1,000 (column 3) = $10,000 (column 4). & 10 two bedrooms x $1,500 = $15,000. • Totals - 20 apartments & $25,000 total rent $25,000 divided by 20 apts. = $1,250 PACE Rent

  20. Important Information • Entry deadline is April 30, 2014 • The entry and judging forms are available either through contacting the PMA staff and/or online at www.pma-dc.org & www.bestapartmentsindc.com • The PACE Awards only evaluates communities (People awards will take place at the MAE Awards and the Maintenance Summit).
