Objectives of Centralized Event Website • Provides advice and guidelines for students, faculty, and staff to put on successful and safe events. • Works with students, faculty, employees, and guests of the university to plan events on campus. • Tracks review of campus event requests and provides advice regarding event facilitation in light of university policies as well as city ordinances and/or state statutes. • Tracks all types of events held on campus property; however, meetings are not included in this process. • This system is NOT a booking agent.

  3. Who approves events? • Public Safety • Risk Management and Safety • Auxiliary Services • Student Affairs • Facilities • Athletics • Parking Services • Housing and Residence Life • Communications & Marketing • Auburn Police Department • Auburn Fire Department • Other entities as they apply

  4. What does the system do? • Ensures that your organization’s planner has fully prepared for your event. • Allows campus event approvers to give feedback and approvals in one central location – you no longer have to go to many different places to seek approvals

  5. The new system does NOT: • Book a venue – you still must book your event with the proper booking agent • Book security – you will still be responsible for booking and paying for officers or other security personnel as needed for your event • Eliminate all other necessary forms • Student Affairs forms • Parade/Race Permits • Amplified Sound and Tent Permits • Forms for City Police and Fire • Take away control of your event – the event will still belong to your organization – this is just an approval to hold the event on campus

  6. Runs and Races • Upload feature allows you to upload your route • Runs and Races will still need to be approved through the city and the university using separate forms • Runs and Races cannot be held on weekdays • Only 2 runs or races allowed per weekend on campus on a first-come, first served basis • Graduation, game day, and other major events on campus will be blackout dates for runs and races
