  4. NAAE Membership Procedures Types of NAAE Membership Types of Membership • Active • People qualified to teach agriculture or related areas at any level of instruction. This includes state staff, teacher educators, etc. • Active Life • People eligible for active membership may become active life members.

  5. NAAE Membership Procedures Types of NAAE Membership Types of Membership • Associate • People engaged in agricultural education, but who are not professionally qualified to teach. • Associate Life • People eligible for associate membership may become associate life members.

NAAE Membership Procedures Types of NAAE Membership Types of Membership • Retired • People who are retired from the agricultural education profession. • Retired Life • People who are retired from the agricultural education profession may pay a one-time fee to become a retired life member. Active life members, when they retire, become retired life members without additional dues payment.

  7. NAAE Membership Procedures Types of NAAE Membership Types of Membership • Student • Students in preparation for careers related to agricultural education. Student members may be at any level of instruction in an undergraduate or graduate ag ed program. Student membership is NOT just limited to student teachers.

NAAE Membership Procedures Types of NAAE Membership Types of Membership All life members must be categorized as: • Life Active - Actively engaged in the agricultural education profession. • Life Retired - Retired from the agricultural education profession. • Life Inactive – Not currently engaged in the agricultural education profession. • Life Deceased – Life member who is deceased and should not be renewed for next year.

NAAE Membership Procedures Preparing for the Membership Year Preparing for the Membership Year • Check your 2011-12 roster for additions or corrections (hard copy is included in membership packet or can be requested from the NAAE office) • Submit any additions or corrections to the NAAE office using the membership roster found at www.naae.org/membership/rosters along with a check for membership dues.

  10. NAAE Membership Procedures Preparing for the Membership Year Preparing for the Membership Year NOTE: If a member is not on the roster, they will not be provided with professional liability insurance or have access to any other NAAE benefits during the membership year.

NAAE Membership Procedures Compiling Your State’s Membership Compiling Membership • Obtain membership information and payment from your state’s members. • NOTE: Members who renew their NAAE membership at their first available opportunity (i.e. state teacher’s conference) will have no lapse in their professional liability coverage.

  12. NAAE Membership Procedures Compiling Your State’s Membership Compiling Membership You can obtain membership information several different ways. You can decide what is best for your state or use the following method:

NAAE Membership Procedures Compiling Your State’s Membership Compiling Membership • Distribute blank demographic sheets to your state members and have them complete the entire sheet and return to you with their payment. • An electronic copy of the demographic sheet was provided to you with your membership roster email. You can also find the electronic file at www.naae.org/membership/rosters. Make copies as needed.

  14. NAAE Membership Procedures Compiling Membership • Make sure at the minimum the following is completed and returned to the NAAE office: • First & last name of member • Email address • State • Questions in gray box on demographic form

Before entering info into your Excel Spreadsheet: • Please save the 2012-2013 NAAE Membership Roster to your hard drive on your computer or to another reliable storage source (CD, USB flash drive, etc.) • When you begin your changes to the roster, save the new version as another name (ex: 2012-2013 NAAE Membership Roster-1st Round, 2012-2013 NAAE Membership Roster-(insert current date), etc.)  or whatever name works best for your situation. • Once you submit your first round of membership you can always go back to that original Excel spreadsheet to add additional members without retyping everything.  Just continue to save each roster that has new changes as a different name. 

  16. NAAE Membership Procedures Compiling Your State’s Membership Compiling Membership Compile all of the information in the 2012-13 membership form, which is provided to you in Excel format. This was emailed to you with your 2012-2013 Membership Roster email. If you did not receive your information, please contact the NAAE office ASAP.

  17. NAAE Membership Procedures Ag Ed Magazine Subscriptions Compiling Membership You can also submit subscriptions to the Ag Ed Magazine using the electronic membership form. For more information about doing this, see the PowerPoint presentation “Using the NAAE Membership Form.” It is important that you write a separate check for your subscriptions.

NAAE Membership Procedures Submitting Your Roster Submitting the Roster Once you have compiled your membership, send it to the NAAE office. • Email the updated electronic copy of your roster to lberry@uky.edu. • Print and mail the invoice along with payment to the NAAE Office.   19. NAAE Membership Procedures Submitting Your Roster Submitting the Roster NOTE: Your state’s membership roster will not be processed until we have received complete payment for all members submitted.

NAAE Membership Procedures Roster Follow-up Roster Follow-up Once we have received • an electronic copy of your roster, • demographics sheets for each member, and • payment for your state’s membership, we will enter your state’s membership information into our database and email you an electronic version of our records in PDF format. Please double-check this document to make sure we have correctly entered all your members

  21. NAAE Membership Procedures Submitting Additional Members Submitting Additional Members Throughout the year, you may have members pay their dues after you have submitted the first roster. To add more members to your roster: • Compile their membership information • Have each newly paid member fill out a demographic sheet (get these from your Membership CD or www.naae.org/membership/rosters • Open the original file that was sent through email and updated members. • Save as a new file name and email to lberry@uky.edu.

Be sure to include: • Demographic sheets • Check for membership dues • Invoice for new members • Electronic copy of newly filled-out roster on CD. (Or email it to lberry@uky.edu)

  23. NAAE Membership Procedures Additional Information • Your state is required to use this process to submit membership information • NAAE is a members-driven organization. It is critical that we are able to make contact with our members. This means:

  24. NAAE Membership Procedures Additional Information • It is very important for the membership information you submit to be accurate and current. • Email addresses must be provided. Email is now our primary method of member communication. NAAE does not sell email addresses or use them for any purpose other than official NAAE business.

  25. NAAE Membership Procedures Additional Information • Please provide a demographic sheet for each member with at least the name, state, email and gray area completed. • Your membership roster will not be processed until payment is received.

NAAE Membership Procedures Additional Information • The electronic form for your membership is provided to you through the email we have on file for you. • The file is named “2012-13 NAAE Membership.” • For help filling out the electronic membership form, see the PowerPoint titled “Using the NAAE membership form.” Click here to be taken directly to that PowerPoint.
