  3. Accessing A Virtual Phone Bank In order to use a Virtual Phone Bank that has already been created and shared with you, select the “Virtual Phone Bank” from the Main Menu.

  5. Selecting a Virtual Phone Bank From this list, you can select a Virtual Phone Bank from which to call.

  6. Beginning the Virtual Phone Bank Selecting a Virtual Phone Bank will send you to a welcome screen, explaining exactly what you are doing, and the name of the Phone Bank. This is the name of the selected Phone Bank

  7. You can also see the “Also In Household” You can also see how many numbers are stored in the VAN Sometimes you will have a Progress Bar If you are able to talk to the person, the script will appear Read the script and scroll through the dropdown menu to apply the responses to the question.

  8. If you are unable to reach the voter then, slide the dot over and select why they were unreachable If there are multiple stored numbers, attempt all of them. Mark the Bad Numbers, and create a more contactable list for the second “pass” of the list. You are only able to edit survey responses if you are able to talk to the Voter. If not, then the screen will be gray

  9. Virtual Phone Bank Ends The Virtual Phone Bank will end when you have attempted all the voters in the list. Once you have completed all your calls, just finish the Phone Bank. You cannot edit survey responses, so please make sure all the data is correct before you move on to the next voter.

  10. Create a New Virtual Phone Bank To create a new Virtual Phone Bank, You need to be in the Main Menu You need to Create a list or load a saved list.

  11. Once you have created your list, you can select the “Calls” option to take you to the Virtual Phone Bank Wizard. Select “Set up Virtual Phone Bank”

  12. You should name your phone bank something easily recognizable. From this menu, you also select the script for which you will use in calls. In the upper display, you can select to see the age of the voter. In the lower display, you can select a variety of information to view about the Voter. You can customize the data you see about the voter in this menu. These fields are not fields you can edit directly from the Virtual Phone Bank. These are fields that you can View Only.

  13. In the viewable display, you can see built information from the database, including survey responses and voting district. In this menu, you can select everything you would like to edit about a person while you are on the phone with them. This information will store to their VAN profile. Select everything in order to be able to edit the VAN profile in real time. You must select an end date for your phone bank. This phone bank will expire after this day. This is where you can choose a progress bar. Distributing voters by zip code ensures the folks calling in the phone bank call folks that live near them.

  14. You can put a time limit on the phone bank if you are limited by time or a Contact limit if you want to reach a set number of people before you quit. Showing all in household shows the caller who else lives in the house to increase contact possibilities and expand our target universe. Attempting alternate numbers means you can go through every phone number that we have stored in the VAN to attempt to contact the voter. Selecting Next saves these settings

  15. The Next Step The screen will look very similar, but with a few changes. Calling Round is the number of times this list has been “passed over” or called.

  16. Save Changes when you have permitted access to everyone necessary Select users from this column to give access to the Phone Bank. Select add and then they will be moved into the left column of users with access.

  17. You will be directed to a screen of Virtual Phone Banks. You can see the progress of other phone banks. This menu is where you will come to “send into round 2” or “refresh” the phone bank.

  18. This menu is in the lefthand column of the main menu. Use this menu any time you need to access your Phone Banks. The Virtual Phone Bank is an option underneath the “Phone Services” link. You will be able to grant access to the phone banks, monitor progress and refresh, or “send into Round 2”.

  19. In order to use minivan, you will need to download the app from your app store on your smartphone or tablet. Once you have downloaded the app, you can log into your VAN account. In the Android app, you need to enter in the home address, username and password. MiniVAN is a tool we can use while blockwalking to eliminate the clipboards and paper. You will need to go through a few steps in order for responses to be logged after a block walk, but the data will need to be “committed” before it is permanently stored in the database.

  20. this is the screen that will pop up once you have logged into your VAN account. Make sure you are working in the MyVoters Database to access the Voters.

  21. Unless you have used MiniVAN before, you should have no available lists from which to choose. If you have a printed list, enter the list number when asked. Entering your list number from the bottom of a walk list will pull up the list of folks to whom we need to talk.

  22. This is what will populate after you load your list. You can begin walking your list. These are the folks to whom we need to speak. The white circles underneath the names of the streets indicate the voters to whom we still need to make contact. To sync your results to the VAN database, you need to manually sync.

  23. Selecting an address will reveal the voter that resides at that address. Selecting that voter opens up a new menu. The survey questions associated with the script for the list are displayed here. You can enter in a response to each survey question from here. if you are able to reach the voter, you can pull up the script view

  25. When you are finished with your block walk, you need to get back to the VAN and in your home page, select MiniVAN from the Load Data group. This is where you will go to “commit” the data to the VAN for storage.

  26. Once you select the “MiniVAN” option, you will see this on your screen. Select the data you collected and “commit” the data.
