Process and Timeline • Submission Process by Term: • Every semester will require a Student EOT and Term/Section file • Fall and Spring (only) will require a Student Census submission • Rules for Inclusion: • Section can only be reported once • At least one meeting must occur in the current academic year • Meet Census date AND End-of-Term date cut-offs for Student Census file • Meet EOT cut-off for EOT files • Note: All date criteria indicate ‘on or before’ the specified date

Summer: Census Cut-off – August 15 Census Deadline – No submission EOT Cut-off – Sept. 15 EOT Deadline – October 1 Winter: Census Cut-off – January 1 Census Deadline – No submission EOT Cut-off – February 15 EOT Deadline – March 1 Fall: Census Cut-off – October 1 Census Deadline – October 15 EOT Cut-off – Jan. 15 EOT Deadline – February 1 Spring: Census Cut-off – March 1 Census Deadline – March 15 EOT Cut-off – June 1 EOT Deadline – June 15 Semester Timeline

Process and Timeline • Standardize the enrollment reporting process • Common application of dates • Official enrollment – Student Census • Official FTE – Term/Section • Student must be closed BEFORE Term/Section • Terms must be closed chronologically • Can NOT have two files of the same type open simultaneously

Student Data Elements • Student Email Address (campus) • Race – current specs allow n responses, but only expect one until federal change • Race – note that Pacific Islanders are separate from Asian • Expanded Hispanic categories • Former Institution: • Includes New Graduate Students • Expanded institutional identification (IPEDS Unit ID)

  6. Student Data Elements • Highest Earned Degree • Note – NO LONGER all that apply • SDF field was Previously Earned Degree(s) • High School Status (different from SDF) • Need to discuss with State Ops the idea of an expanded collection (not funded) • Admission Status (formerly Credit Enrollment Status) • Continuing Ed.

  7. Student Data Elements • Higher Education History: • Transition Students • Joint Program • Primary / Secondary Academic Program • Home Institution – IPEDS Unit ID for cross registered • Total Credit Hours – used to determine student workload reporting – Full / Part • State Supported Credits: • Lower • Upper • Graduate • Used to Estimate FTE

  8. Student Data Elements • Transfer Credits (new field) • Cumulative GPA – trying to track down NYSED guidelines • Pell / TAP Indicators • Financial Aid File pulled out and will be a separate annual submission • Tuition Rate (new field) • Housing (new field)
