Pre-event considerations • What is the overall objective of the event? • Is there an overall theme to the event? • Will you be presenting and/or manning a stand? • Will the event organiser provide you with delegate MI (names and firms) prior to the event? • Is the objective to generate leads? What is your strategy for identifying potential leads? • Are you going to do a business card draw? This requires purchasing a prize and obtaining a prize draw box. • Do you need a poster or terms and conditions to promote the draw? • What prize will you offer? A bottle of wine is usually a suitable prize for smaller events. At larger national events you could offer something more expensive such as an iPad or iPod with agreement from your Head of Department. • How will the event be communicated/promoted to delegates? Will there be promotional articles or flyers that can be PruProtect branded? • Do you need to provide additional branding at the event? • Will there be targeted telephone advertising prior to the event? • Will you need to send reminder emails or invitations to your panel and/or other relevant people? • Can delegates be directed to a website for more information? Do they need to register? • Will the event qualify attendees for CPD points? Will the event organiser provide CPD recording sheets and feedback forms? FOR INTERNAL USE ONLY

Pre-event checklist At least two weeks before • Place order for Literature / Merchandise / Banner Stands / Literature Stand / any additional material required. • Ensure you know the exact delivery address details and contact information. • Have you got enough business cards? • Send out pre-event comms. • Have you got enough resource to help you on the day? • Order prize if required FOR INTERNAL USE ONLY

Events order form • Events order form can be downloaded from Sales Zone • Email completed form to marketing@pruprotect.co.uk • Marketing will respond to your email within 48 hours • Submit your order at least 10 days before the start of your event • Delivery to an Account Managers home before an event is preferred FOR INTERNAL USE ONLY

  10. Literature and Merchandise Hints and Tips • What is the overall theme of your event? Order literature that supports this theme. • Do not ‘over-order’ literature • As a guide; only order a maximum of 5 items, otherwise your stand will look overcrowded and messy. • Order enough stock for half of the confirmed number of attendees at the event.   12. Returns label • Please contact marketing@pruprotect.co.uk to pick up any excess literature and banner stands - they will be returned back to the MAT office. • Attach returns label to all boxes. FOR INTERNAL USE ONLY

Ordering larger stand units and literature stand Before the event • To request a larger stand unit or the literature stand, complete the events order form and send it to the Marketing team at marketing@pruprotect.co.uk. • Marketing will arrange delivery directly to the venue. • Please specify whether you will need someone to assemble and break the stand down. After the event • Marketing will arrange for the large stands and literature stand to be picked up after the event based on the information you specify on the form. • Ensure you use the returns label and affix to the stand / literature stand. Other stand equipment • It’s worth checking with the event organiser to find out what other equipment is available to you such as tables, table clothes, chairs, TV screens, etc. FOR INTERNAL USE ONLY

  14. PruProtect branded pop up stand • This stand can be assembled by one person • Size - 3m wide by 2.2m high Hints and Tips • Who will be manning the stand? Do you require extra resource to assist you on the day? • Consider size of event and the venue – what is your space allocation? PruProtect and PruHealth modular stand • Suitable for very large national events. • Size - 4m wide x 2m high. • It can be branded with two PruProtect panels or for joint branded events you can added one PruHealth panel. The main panels focus on Vitality. • The stand comes complete with a TV screen, tables (also doubles up as storage cupboard), stools and literature racks. • The assembly and break down of this stand will need to be done by Keyboard Graphics at a cost of around £1,200. Ordering posters and/or entry forms for prize draws Before the event • To request a poster or entry form for your upcoming event; please email your requirements to marketing@pruprotect.co.uk at least 3-4 weeks before the event. • Please specify: • Name of event • Start and end date of event • Prize • When the prize draw will occur • Conditions of entry i.e. business card draw or entry form • Any other relevant information • The prize and any related printing costs will need to come out of your own budget and at your manager’s/director’s approval. • Important note: Any text that differs from the examples included in this presentation (not including variable copy) will need to go through PruProtect’s sign-off process otherwise the material will be considered a compliance breach. PruProtect entry form example • Example Ts and Cs • One entry into the prize draw per PruProtect broker who attends the <Intrinsic Mortgage> event. • The winner will be chosen at random by PruProtect at the conclusion of the <two day> event from the eligible entries. • Individuals will be notified of the award of the prize by phone or mail within 30 days after the conclusion of the <two day> event. The winner must respond to PruProtect within 30 days of any notification in order to receive his or her prize. • PruProtect will send the winner his or her <Apple iPad> by post within 30 days of receiving the winner’s response. • Any decision made by PruProtect is final and no correspondence will be entered into. • The prize is not transferable, non-exchangeable and cannot be redeemed for cash. • PruProtect reserves the right to amend or withdraw this prize draw at any time or substitute the prize with another gift of similar value in the event the prize offered is not available due to circumstances beyond its reasonable control. • The name of the winner will be made available on request by writing to PruProtect Marketing, Marble Arch Tower, 55 Bryanston Street, London W1H 7AA. • PruProtect is not responsible for the repair or replacement of a faulty Apple iPad. • Promoter: Prudential Health Services Limited, trading as PruProtect. Post-event evaluation & follow up activity • What is the best way to follow up with any potential leads? • Is it possible to create a database with the information collected from the business cards? • Will the event organiser provide you with delegate feedback or MI (names and firms) after the event? • Will you email attendees to provide them with a summary of the key learning points from the event to maximise business-writing opportunities? • What would you do differently at the next event? • What worked well or not so well? • Is it worthwhile for the PruProtect MI team to create a tracker for the attendees of the event to track any follow up sales? • Is it possible for the event organiser to provide you with stats or feedback regarding your presentation / stand? • Is it worth sending out a post-event survey to delegates?
