  2. MIP Revisions Fee Admin Role FunctionalityOverview Welcome to the Fee Administration tutorial of the “MIP Workbench: Revisions” course. The role of the Fee Administrator, with respect to Revisions, is to record all fees associated with a project in the MIP. It should be noted that MIP is not a financial tracking tool and the fee information stored within the MIP is for informational and tracking purposes only. Fee Administration Functionality: Certain triggers are set up within MIP so that when a fee is to be received, the activity to record this fee will appear on the fee administrator’s workbench. The full fee amount has to be received and recorded in order for Task Lead to complete their Process Request activity. Occasionally, user error will restrict the project from appearing on the fee administrator’s workbench. In these instances, the Task Lead should provide documentation of the fee to MIPHelp, and request that the fee be entered through the back end. Questions concerning the fee should be directed to the Fee Administrator. Revisions Workflow Link 4

MIP Revisions Fee Admin Role FunctionalityOverview: Log in The website to access the MIP is http://hazards.fema.gov Once you navigate to this webpage you must go to the log in screen to log in as an authenticated user by entering your username and password. NOTE: After 3 failed login attempts, you will be locked out and will need to contact MIPHelp to regain access. 4

  4. MIP Revisions Fee Admin Role FunctionalityOverview: Welcome Screen After successfully logging in as an authenticated user, the MIP Welcome screen will appear. This is where the Fee Admin’s workbench can be accessed. The workbench is comprised of various tabs which will lead you to different portals within the MIP. The tabs available within the workbench are: • Work Items • Project Dashboard • Reports & Form Letters • Search & Retrieve Data • Create Project Other useful links on the Welcome Screen: • Map Modernization –links to FEMA website • Tools & Links – upload to Content Manager outside the workflow • Learning – link to Learning Management System (LMS) along with other helpful links • Map Viewer – search for flood map info • Process Admin – tool for PA role users 4

  5. MIP Revisions Fee Admin Role FunctionalityOverview: Workbench The Fee Admin’s workbench is the location where the functionality to add fees to revision projects can be accessed. The Fee Admin will primarily only use the Work Items List, however each tab on the workbench contains specific functionality: • Work Items • Displays cases tracked in MIP based on user’s role, geography, and organization • Project Dashboard • Quick visual tracking tool • Reports & Form Letters • Run various reports and generate draft LOMR determination document and cover letter • Search & Retrieve Data • Find data stored in Content Manager • Create Project • Location where users with the Project Admin role can create projects 5

  6. MIP Fee Admin Role FunctionalityAdminister Fee: Claim an Activity The Work Item List will display all projects associated with the Fee Administrator's role, geography, and organization. If another user has the same role, geography, and organization, then both users will see the same projects on their Work Item List. To claim a project, click the green Claim button. Once a project is claimed it will no longer appear on other user’s Work Item Lists. Once a project is claimed the Item Name will activate into a hot link which the user can click to launch the activity. Click the hot link to launch the activity 4

  7. MIP Revisions Fee Admin Role FunctionalityAdminister Fee Administer Fee: This is the activity where the fee administrator enters the initial fee received for the project. The Fee Required amount and Payment Received with Application will be entered by the Project Administrator when they create the project in MIP. This information will appear at the top. Once all information is entered in the required fields, the Add Payment button must be clicked in order to save the information to the project. The information will then be consolidated as it appears below. 4

To expand a single module, click the arrow located to the left of the module name. To view all modules, click the Expand All hot link to show all data fields and information entered.

MIP Revisions Fee Admin Role FunctionalityAdminister Fee: Complete Task Click here to expand the Work Item List Complete Task: A brief reminder message will be displayed reminding that once the Complete Task button is clicked, the Fee Admin will no longer be able to work in this activity and the project will then progress to the next step in the workflow.

The fee balance will appear at the top. Previously entered fee information will appear at the bottom of the screen. Once all information is entered in the required fields, the Add Payment button must be clicked in order to save the information to the project. The information will then be consolidated as it appears below. 4

The invoice amount will appear at the top. Previously entered fee information will appear at the bottom of the screen. Once all information is entered in the required fields, the Add Payment button must be clicked in order to save the information to the project. The information will then be consolidated as it appears below. 4
