  1. Federal Work Study • Must complete the FAFSA (Free Application for Federal Student Aid) • Outcome of FAFSA is EFC (Expected Family Contribution) • Must have financial need (COA-EFC=Need) • Must have remaining financial need after other aid is awarded. All need-based aid may not exceed Need.

  2. Approval to Work Do not allow a student to start working until they give you an Approval To Work (ATW) letter. Risk Student’s eligibility may have changed from the initial awarding and now we are not able to use FWS funds to pay the student. In this case, either the student just volunteered his/her time or you can pay the student wage out of your budget.

  3. ATW letter will be issued when: • The student’s registration is complete for the semester (paid bill). • If selected, student’s verification is completed and still eligible for FWS. • OSA has received the signed Placement Form and Letter of Agreement for the permanent site.

  4. Timecard Reminders • Use black ink and write legibly; • Use the correct time sheet – hours worked are for the actual pay period on the time sheet; • Complete the entire top section; • Do not list actual hours worked (ie. 12:45 to 3:10). Instead list # of hours rounded to nearest tenth (ie. 2.4 hours) • Total hours on the time sheet.

  5. Supervisor Responsibility • Verify the student’s hours are accurately reported on the time sheet; make adjustments if needed; • Sign the timecard; • Fax the time sheet to 814-863-0322. If you have fax trouble, then you may scan and email the timecard to BOTH rld30@psu.edu and bmi101@psu.edu. • Fax the time sheet by the deadline. Timesheets are due by 5pm on the Monday following the end of the pay period.
