This contains the addresses of the primary recipients of an email, from whom you would expect a response, if any. In email, the Cc: command is straightforward enough, as it says ‘send a copy of the message to an address other than the main recipient’ (the address that you place in the To: field). So if you want to send a message to more than one recipient, at least one address will have to go in the To: field. The other addresses can also go in the To: field or they can go in the Cc: field. Everybody gets a copy of the message, and all recipients can see who else the message has been sent to.

  2. Blind carbon copies are used to send a copy of an email to a recipient without any of the other recipients being aware that the Bcc’d recipient got a copy of the email. Bcc says ‘send a copy to another address...but in this case, don’t indicate to the recipient that you sent this copy’. Attachment: 附件 This is the name given to a file that is sent with an email, an email attachment can be any type of file including images (photos), documents, zipped files/folders, etc. Most email providers have a limit on the size of the attachment that can be sent, also, you can only send up to a certain amount of attachments with each email. Reply: 答复 Reply to All: 全部答复 Forward: 转发 High Priority: 高优先级 Normal Priority: 普通优先级 Low Priority: 低优先级

  5. E-mail Writing Tips • Use specific subject lines • Always include a subject line in your message. These allow the reader to prioritize, search, and file the message appropriately. It is also important to make it meaningful. • e.g. “Meeting”/ “Important Production Meeting Wed, 4 Jan, 2008”, which one is better? • Keep messages precise and to the pointEmail messages should rarely be longer than one page. Put important information in the first paragraph so the reader can immediately determine its urgency and relevance. Format the message into easy-to-read sections using appropriate bullets and paragraph breaks. Keep to one subject. • Do a spell checkThis is a must. • Do not overuse mail distribution listsLimit the use of distribution lists, as the information in your message may not be useful to everyone on them. Use caution when replying to distribution-list messages, ensuring that you reply only to the sender and not to the entire list, unless a reply to all is appropriate.

  6. Include your name and telephone number in the messageAlways include your name and alternative contact information in your message. This allows people to call or fax you information more easily. Using threads keeps the original message and reply together and makes it easier for the participants to follow the chain of information that has been exchanged. When replying to messages, do a genuine reply, which will re-use the existing subject line. Do not send a new message with a new subject line.

Make it easy and simple for people to read and replyIf you want your email to be readable at all times and at all platforms, plain text is the way to go. • Check size of attached filesBe careful with attached files. If in doubt, ask first, and offer to forward the attachments separately to interested parties. This applies even more when writing to mailing lists.
