Definitions • Archive: Technically refers to the permanently valuable records received and accumulated by formal organization such as governments, business, and nonprofit organizations in the process of conducting their daily business. Why are archives not just old records? Archives provide evidence of a person or organization’s activity. Age of an item does not mean that it is or is not an archive.

Definitions (Cont.) • Manuscript group or Collection: • generally is used to represent the organic collectivity of records created, accumulated, assembled or used by a person, family [or an organization] • Provenance: • records should be maintained according to their origin and not “intermingled” with those of another provenance– that is those created by another person or agency • Original Order: • keeping records in the order in which they were kept by the person or organization that created, accumulated, assembled or maintained them

  4. Original Order and Provenance Why are the concepts of original order and provenance important to understanding and organizing archives?

Definitions (Cont.) • Context: • is the conditions under or during which records were created – a historical era, a social milieu • Arrangement: • the process of organizing materials with respect to their provenance and original order, to protect their context and to achieve physical and intellectual control over the materials • Description: • the creation of an accurate representation of a unit of archival materials by the process of capturing, collating, analyzing and organizing information that serves to identify archival materials and explain the context and records system(s) that produce it
