General Expectations • Arrive and sign in 15 minutes before the start of your shift • If you are unable to make your shift, you should trade with another volunteer or find a substitute • Notify Bart Leahy, Volunteer Coordinator, of any changes at 703-785-2443 • Sign out at the end of your shift • Be flexible…we may have to reassign volunteers in real time • Dress Code • Conference-provided polo shirt • Comfortable shoes • “Business casual” pants (e.g. Dockers, khakis…no jeans, shorts, tennis shoes) • Avoid “distracting” jewelry or accessories • We need you to look professional • Follow the checklists…make sure all items are completed • Be courteous and professional at all times • You will be representing ISDC 2005, its sponsors, and NSS • If a situation is getting out of hand, ask for help • If you have a question, ask! • Don’t leave problems unfixed • If you don’t know the answer, don’t guess, call the Office • Be aware of security • If something doesn’t look right, investigate or notify a manager • Be extra careful of equipment, exhibits, and art...make sure that anyone moving these items has an appropriate staff, exhibitor, or art show badge, respectively

General Expectations (cont.) • Smile! • Be knowledgeable and helpful • Read the hotel’s literature • Walk around the property in order to be familiar with it • If you do not know the answer to a question about the hotel or the DC area, take the attendee to the hotel’s front desk to get their question answered • “I don’t know” is not an acceptable response • If an attendee has a question about the conference, be familiar with the conference program book • Keep a copy close at hand in order to answer questions • If you cannot answer the individual’s question, try to locate or contact a member of the conference leadership • If no one is available, direct the attendee to the conference Office • Know where the closest restrooms are to your location • This will be the number one question you answer • Please act professionally at all times • Especially while on duty or wearing the staff shirt

  8. Office Responsibilities • Answer phones • “International Space Development Conference, this is _____, how can I help you?” • Take/forward messages for Conference staff • Dispatch volunteers

  9. Registration Responsibilities • Take payment for conference and meals and issue receipts • Distribute attendee welcome packets • Provide directions and guest service, as applicable • Direct conference volunteers to the Office or assigned work location • Verify cash drawer at end of shift

Audio-Visual Responsibilities • Verify equipment is on and functioning • Cue up presentations for each session • Troubleshoot equipment, as warranted and if possible • Ensure that only attendees with badges are in plenaies/sessions • Provide direction and assistance to attendees as needed • Assist speakers with any technical questions • Protect the equipment…it doesn’t belong to us! • Report any suspicious activities to hotel security

  11. Security Responsibilities • Ensure that only attendees with badges are in conference areas • For meals, only those will meal tickets or media bagdes are allowed in the room • Provide direction and assistance to attendees as needed • Report any suspicious activities to Hotel security

  12. Photography Responsibilities • Photograph all speakers/events, as applicable • Turn in film/digital media at close of business • Avoid disturbing proceedings • Check in with conference leadership from time to time to establish priorities

  13. Exhibit Room Responsibilities • Ensure that only attendees with badges are in exhibit/book signing areas • Refer interested individuals without name badges to Registration desk • Provide direction and assistance to attendees as needed • Report any suspicious activities to Hotel security

  14. Childrens’ Program Responsibilities • INSIST that any children enrolled MUST BE POTTY TRAINED. • INSIST that you have parent contact numbers that will work during program (not just hotel room phone #), and have a phone that dials long distance - in case child becomes ill • Develop an AMBER ALERT protocol: who is allowed to pick child up? Demand photo ID for anyone signing child in AND out; who should staff call if child is missing - in what order? • Ideally, you should have 1 person onsite trained in CPR/1st Aid at all times • Attention span: 7 minutes, plus 1 minute for every year older than age 10, with max at 15 minutes • So, activities need to change gears about that frequently...move them around, give them more crayons, take out more board games...etc. • Frequent supervised potty breaks • Frequent snacks of a variety - not all sodas and cookies; avoid nut-based offerings; have an option other than milk and juice
