RIGHTS OF PARENTS AND STUDENTS • Clay Virtual courses use accredited curriculum taught by certified and highly qualified teachers. • Students and parents will be treated with courtesy by all members of the staff. • Students and parents will be treated fairly regardless of race, creed, national origin, economic status, gender, or age. Each child will be treated as an individual. • Students and parents can approach a staff member with a concern, and the staff member will listen carefully and do everything possible to address the issue.

PARENT RESPONSIBILITIES • Expect academic honesty • Monitor/track your child’s performance and pace • Be aware of the 21 day grace period • Assist your child in developing a work schedule using course pace charts • Help your child study and prepare for assessments, including Discussion Based Assessments (DBAs) if applicable • Ensure your child has time and an appropriate place to work and study

PARENT RESPONSIBILITIESContinued • Keep CVA updated with contact information for you and your student • Check email at least daily • Maintain clear, courteous communication with instructors at least monthly and respond to teacher communication within 2 school days of receipt • Set up a parent account for FLVS courses at https://vsa.flvs.net/Registration/GuardianApplication.aspx?pageID=141&AID=273&fn=Apply-for-Parent-Guardian-Account

STUDENT RESPONSIBILITIES • Check in to homeroom and monitor homeroom announcements. • Create a schedule. • Decide if you will focus on one subject per day or all subjects every day. • Dedicate a work space that is removed from distractions. • Create a binder for each subject that includes the pacing guide, your daily schedule, and notes. • Speak up! Be an advocate for yourself. • Have academic integrity. • Monitor your own progress and performance- • Be aware of the 21 day grace period if applicable.

Keep in contact with your teachers. • Schedule all Discussion Based Assessments in advance (if applicable). • Check email at least daily. • Return all calls and emails within 2 school days. • Set up tutoring with your instructor as needed. • If part of your course, teachers may communicate with students regarding scheduling of virtual classes. While attendance to virtual classes may not be mandatory, if not in attendance, all students must view the recording of the material presented in the session if required.

  10. 21 DROP/ADD Policy

PACE INFORMATION • GRACE PERIOD = 21 DAYS • Pace is about 5% per week which should take about 5-8 hours per course. • If a student is not on pace and working consecutively on required assignments as listed in the course pace chart, s/he will be withdrawn if within 21 days, or may be withdrawn failing if after 21 days. • Students are required to login daily. • Please PRINT the PACE CHART on • page 3 of the student handbook.

PARENT or STUDENT INITIATED DROP-ADD POLICY • You have 21 days from your course activation date to drop the course without penalty. • Students who request to drop an online course within the first 21 days will be withdrawn without a grade (W). • Students who withdraw from a course after 21 days will be issued a failing grade (W/F or C/F) on their transcript. • Schedule changes are made ONLY if: • You are scheduled for classes you previously passed. • You are scheduled into a class that has a prerequisite that has not been completed. • You are a senior who needs a class to meet graduation requirements.

  13. NO CONTACT/AUTO WITHDRAWAL If the student does not submit the expected number of assignments, the student and parent(s) will receive communication from the teacher. If the student does not respond to the communication by submitting the appropriate number of assignments within 7 days, the teacher will call/email the student/parent(s). The principal or guidance counselor will be notified.

  14. NO CONTACT/AUTO WITHDRAWAL Continued If the student does not respond by submitting all required assignments, the student may be administratively dropped from the course. For FLVS courses, an official final grade report will be emailed to the student. If the course withdrawal date falls within the grace period, a grade of W will be issued. If the course withdrawal date falls after the grace period, a grade of WF may be issued. ***Please see Student Handbook pages 9-12 for further details.

  15. Homeroom/Attendance

HOMEROOM TEACHERS • Serve as a contact for parents and students in a specified grade level for general announcements, questions and concerns regarding Clay Virtual Academy. • Record attendance in Focus based upon the number of logins to the homeroom page weekly. • Do not apply to acceleration students or virtual lab students on a physical school campus.

  17. ATTENDANCE • Students must login to homeroom every day in order to be counted present. However, excused absences may be granted by administration. • Attendance in courses other than homeroom will be based on course progression with 5% per week considered a full week of attendance. • ***Please see Student Handbook page 12 for further details.

  18. ACADEMIC INTEGRITY

  19. TYPES ACADEMIC INTEGRITY ISSUES PLAGIARISM • Copying and pasting a report from the Internet and representing it as your own work. • Copying any other work and not properly citing authorship. CHEATING • Providing questions/answers/ work to another student • Receiving questions/answers/work from another student

  21. Other CVAPolicies

CONCEPT MASTERY/Face-to-Face Sessions • An instructor may ask a student to resubmit assignments that do not demonstrate mastery. • CVA reserves the right to require a student and/or parent to attend a face-to-face conference, lab, meeting, test, or tutoring session. Reasons for such a requirement include, but are not limited to: • 1. County or state mandated testing • 2. Progress Monitoring/Assistance with Pace

DISCUSSION BASED ASSESSMENTS (ORAL ASSESSMENTS) • Assess student understanding of major concepts and identifies misconceptions • May be performed via phone or collaborate session • May serve as a monthly call, and details of this contact will be recorded by the instructor • Must be scheduled in advance - Students must complete all prerequisite assignments prior to the DBA. • Skipping a DBA is strictly prohibited and may result in a contact instructor hold being placed on a student’s account. If this occurs, the student will not be able to access the course until the DBA is complete. • ***Please see Student Handbook page 12 for further details.

  24. REMOTE PROCTOR • CVA uses Remote Proctor for exams if the Parent signs a permission form. • If the parent does not agree to use of Remote Proctor, arrangements must be made to meet the student on a campus or public library. • CVA Distance Learning Specialists can assist with use of Remote Proctor.

  25. GRADE BOOK INFORMATION • Instructors are allowed 2 school days for grading/scoring. • It is important the instructor, student, and parent know the appropriate grade book of record that should be monitored. • ***Please see Student Handbook pages 13-14 for further details and ask specific course instructors regarding grade information.

  26. REPORT CARDS & PROGRESS REPORTS • Students and parents can check progress via the course gradebook, monthly calls/emails, and progress reports. • Final grades will be posted to the student’s academic grade history (transcript). Only the final yearly Report Card will be printed for parents. • ***Please see Student Handbook page 14 for further details and ask specific course instructors regarding grade information.

  27. SCORING SCALE – GRADES K-2 ONLY • Code 4 = The target task was demonstrated in the virtual classroom or a “face to face” situation and the corresponding assignment does not need to be completed. • Code 3 = The target task was completed in a satisfactory manner. • Code 2 = The target task was not fully demonstrated. • Code 1 = The target task was not demonstrated.  Please contact your teacher any time you see a Code 1.  There can be many reasons for a Code 1, for example:  not following directions related to the assignment or the teacher was unable to view your submission. • ***Please see Student Handbook page 13 for further details and ask specific course instructors regarding grade information.
