Documents • Physics Requirement Document • Used to convey the essential physics requirements • The engineers use this document as the basis of their designs • Example: The undulator period is 3 cm • Engineering Specifications Documents • Used to spell out specific engineering details • The engineers use this as a supplement to the PRD and to provide details of the item they have designed so that others can design to it • Example: The physical length of the titanium strongback is 3.4 m. • Interface Control Document • Used to specify in detail all interfaces • Example: The video camera must have one BNC female video output port • Status • In the undulator area we are lagging behind in the generation of these documents and must really start to get these done in the near future • Brad Youngman and Geoff Pile, now that they are on board, will begin to pull this effort together and get people to get these done.

Handover Plans • All handovers predicated on the Lead, Mentor, Consult philosophy • ANL to take the Lead in the development and delivery of the undulator system equipment • We will then Mentor our collaborators in the use of the equipment during the transition phase of handing it over • We intend to stand by our equipment through proof of meeting performance specifications • SLAC will assume responsibility when either critical performance tests are passed or when installation of the particular equipment begins • Handover occurs at this time; however, ANL, as a collaborator, will remain available during critical periods such as first beam • Beyond the handover key personnel from ANL will continue to be available through CD4 for consulting about the various equipment

Handover Plans • Undulator Handover Example • ANL is responsible for the production of all undulators • ANL has acted in a Mentor/Consult role in the development of the LCLS magnet measurement facility • ANL will measure and tune the 1st 2 article undulator magnets at the ANL magnet measurement laboratory • This will be done together with SLAC personnel • The 1st 2 article magnets will then be shipped to the LCLS MMF for remeasurement and tuning • This will be done together with ANL personnel • The remaining undulator magnets will be directly delivered to the LCLS MMF for measurement and tuning • Measurement and tuning be done by SLAC personnel but will be monitored closely by ANL • SLAC assumes responsibility for the magnet following successful tuning • ANL will continue to be available in a consulting role through CD4

Summary • Scope • The undulator system scope is clearly defined and parsed out between ANL and SLAC • Management • Structures have been put in place such as requirement documents, regular management meetings, and effort reporting documentation to ensure project delivery on time and within budget • ANL has added a QA person and a procurement person, both part time, to the team to strengthen our management ability in this WBS area that includes a number of large subcontracts for critical components • Organization • All critical key positions have been filled • ANL/SLAC organization integration has been strengthened since the last review with the addition of a number of key individuals in collaborative areas • Handover Plans • Lead, mentor, consult will be used throughout the project to ensure a smooth handover process
