Reporting-To Structure The Reporting-To that you are building may or may not reflect your actual organization structure, but will construct a reporting structure when all Reporting-Tos in your department have been identified. • Ali typically goes to Aini to request for leave. • Aini approves leave for Ali. She goes to Siti to apply for her own leave. • Siti approves leave for Aini. • In the case for leave, Ali reports to Aini. Aini reports to Siti. • The supervisor who the employee reports to is the name entered for the employee’s Reporting-To in GEMS. Dept A Siti Aini • The pattern is similar for other approval-required transactions in GEMS. • See slide 4 to identify which tasks are linked to reporting-to via the Line Manager role in GEMS. Ali

The Different Types of Line Managers • In GEMS, the term Line Manager refers to roles that have specific groups of employees or positions reporting to them for specific purposes, e.g. approval of transactions. • Employees who are given Line Manager roles will have access to approve transactions for employees/positions assigned to them either via Reporting To or by virtue of the role itself. • If a supervisor has subordinates and is identified as a Reporting-To but is not given the Line Manager role, s/he will not be able to see his/her subordinates in GEMS via Self Service. • Only the Line Manager role is linked to reporting to. LM-Benefits and LM-Recruitment are not.

Role Mapping (1 of 2) When completing the Role Mapping document, the Line Manager role should then be assigned to the employees who are the Reporting-To that you have identified for each employee in your department (see slide 2). It is assumed then that these employees are those who have been identified to have subordinates for whom they can approve certain types of transactions for. Refer to the next slide for an example of the Role Mapping template based on the reporting-to structure on slide 2.

  6. Role Mapping (2 of 2) Based on the role mapping above: Ali only has Self Service access to GEMS (Employee role gives Employee Self Service access to users). Based on the reporting-to, Siti and Aini are given Line Manager access and are able to approve specific transactions (see slide 4) for their subordinates. Siti is assigned Line Manager – Benefits, so she is able to recommend any claims for utilities or running mileage from employees in her dept. Aini is assigned Line Manager – Recruitment, so she is able to manage recruitment for positions in her department.
