  3. Part 1: Set Up Membership Groups • The first step is to enter the different membership options your center offers into Copilot. • Click Membership – Click Maintenance • Click Add Group • Type a Group Name (Do you have a Center membership, a Fitness membership…etc.) • Example: • Next type the Level (You can have one level or many levels for a group.) • For example, the Fitness membership can have a level for the fitness room and you can later add a second level for the fitness classes. • If you just have one level you could simply type general.

  4. Part 1: Maintenance cont. • There are two options for terms: • 1. Fixed – means everyone’s membership starts and ends on the same day, such as Jan 1 to Dec 31. • 2. Continuous– means membership starts on day of payment • Termination Date – means when does this price expire. On the day of termination you will not longer be able to add members to that term. Membership recorded for that term will continue for the length as defined.

  8. Pause & Practice: Set Up Pause here to locate maintenance. Click Memberships – Maintenance Click Add Group

  9. Part 2: Add Member(s) • Under Add Members you can add one member or multiple members at one time. • On the left add the Details On the right add the Names You can use the Search box Green means you have selected this term. You can add more than 1 at a time.

  10. Pause & Practice: Adding Members Pause here to try adding members. Click Memberships – Add Member(s) Do you like how you can add multiple memberships at one time?

  11. Part 3: Search • You can use the Search option to find an existing member or to add membership to one consumer. Simply search for a name then click select next to the consumer you wish to view. • Here is an example of viewing a consumer. You can see a list of memberships. You can also view, edit, renew, or add membership.

  12. Part 3: Search • Within Search, you can add membership for one consumer at a time. • You can use the default term dates or customize the term.

  13. Pause & Practice: Searching Search for one of the members you added today. Click select next to their name and view their membership.

  14. Part 4: Edit • You can view and edit members, but there are many other options under Edit. • Filter by Group • View Alerts • Create a PDF of Alerts • View All Members • Search for Members

  15. Part 4: Edit cont. • Click View next to a members name. • Click View again next to the membership to see the transaction information.

  16. Part 4: Edit cont. • Right Click on the Membership to Record Payment or Issue Refund.

Part 5: Reports • Group Member Listing – includes names, addresses, phone numbers, and dob for group members • Mailing Labels – address labels for easy printing • Event Sign Up Sheet – Have an event for members only? Print a sign up/in sheet for the event. • Membership Alerts – Find out who has expired memberships, who still owes money, or see whose membership will expire in 30 or 60 days (great way to send reminders). • Daily Transaction Ledger – Document how much money was collected and who received memberships on that day.

Part 6: Notifications Notifications are messages that appear on the touchscreen when users scan their card. • Announcements – appear for selected member groups and selected dates • Announce trip sign ups or a special event for only members • Have an ongoing announcement to your under 60 group to pay for meals • Reminders – appear when a users membership is about to expire • Reminder Start Days – how many days before membership expires do you want the message to appear • Expirations – appear when a users membership is already expired • Set how many days after expiration do you want the message to appear.

  19. Part 6: Notifications • Announcements • Reminders & Expirations Recommend putting at the bottom of the message, “Please click OK to enter today’s activities.”
