Pilot Proposal • Goal – To get a “flavor”, not to try every part • Focus on practice and the “spirit” of the process • Only summative assessment due to length of the pilot timeline • Every Educator who is selected to pilot this evaluation system begins and ends with a “Proficient Rating” – no exceptions • Begin within next two weeks • Conclude by week after April vacation

Getting Started… • Evaluator will hold an initial meeting going over the timeline for the Pilot, and the forms that will guide and track the conversations along the way. • The “Evaluation Tracking Sheet” will help everyone keep track of where they are in the process, and what still needs to be accomplished. • Evaluator and Educator should jointly decide how the post observation communication will work: Who will contact whom to set up a post-observation feedback time? Goal Setting and Educator Plan • Teachers complete an informal self-assessment primarily on the two indicators that are the focus of the Pilot and meet with Evaluator to discuss in preparation for goal setting. (Standards 1-B-1, and 2-A-1). • Teachers develop at least one goal (professional practice or student achievement) that is in alignment with one or both of the indicators that are the focus of the pilot. • Teachers fill in goal section of “Educator Plan Form” and discuss with evaluator to get approval of goal. • Teachers fill in the action plan, timeline, and support sections of the “Educator Plan Form” and discuss with evaluator.   10. Observations and Evidence Collection • Evaluator completes five, 10 minute observations of Educator (10 minute minimum – can be longer). • Evaluator takes notes during each observation. Notes should include behaviors that were directly observed – What did the teacher and students say and do? • After an observation is completed, Evaluator and Educator touch base to set up a time to meet within 48 hours of the observation. • After the feedback conversation, the Evaluator fills out an “Observation Evidence Collection Form” to document the key points of the conversation. • This form should be initialed by both the Educator and the Evaluator.   13. Educator Response • At any time in the process, an Educator can fill out an “Educator Response Form” to give their own commentary on an observation, or any other part of the evaluation process. Form #4 – Educator Response Form

Other Types of Observations • Observations can also entail teachers being observed during grade level meetings, faculty meetings, parent conferences, PLC meetings, TAT meetings, and any other time teachers are performing their professional responsibilities. • Evaluators will make it clear through their behavior (sitting and note taking) that they are evaluating a teacher and will follow up with a communication to the Educator requesting that they set up a mutually convenient time to talk.

Evidence Collection • During the Pilot time period, Evaluators will continue to collect evidence to document an Educator’s performance on the two indicators selected for the Pilot (Standards 1-B-1, 2-A-1) • Evaluators will fill out the “Evaluator Record of Evidence Form” (two pages) • Educators will fill out the “Educator Collection of Evidence Form” and attach it to additional evidence or artifacts they wish to submit to document satisfying the criteria for the selected standards. Summative Evaluation • After the five observations are completed, the Evaluator will complete a “Summative Evaluation Report Form” (Standards 1 and 2 only for the Pilot) and then meet with the Educator to discuss it. • Evaluator will select an overall rating (Proficient!) • Evaluation Form can be edited during the meeting, based on the conversation. • Teacher may fill out an “Educator Response Form” if they wish. • All Pilot Teachers will move to Year 1 of a 2 Year Self-Directed Plan in 2013-2014.
