  2. Agenda of the session • Covering 3 main areas: • Key areas of responsibility • Skills needed to do a good job • Trouble-shooting common challenges

Key areas of responsibility for Secretaries • Record keeping • Completing society paperwork • Managing data • Organising meetings and booking rooms or venues • Writing and circulating the agenda • Responding to Union communication • Organise the AGM with the Society President Tips! • Hold meetings at the same time each week • Schedule meetings at regular intervals • Book meeting rooms well in advance • Always have an agenda

Key areas of responsibility for Publicity Officers • Organise publicity • Co-ordinating promotional opportunities • Keep branding consistent with logos • Organise and order hoodies or T-shirts • Set up the stall and publicity for Socs Fair in Term One • Advertise meetings/AGM/Socials • Record Keeping • Recording and reviewing publicity activity

Mutual areas of responsibility for both Secretaries & Publicity Officers • Understanding broader picture • Attending training • Scheduling • Reviewing activities & events • Communicating regularly with your members • Work with each other to decide how you will market your socials to your members • Secretaries might want to send member-emails • Publicity Officers could be in charge of other social media • BUT, most importantly, communicate with each other.

  7. Challenge #1 Balancing your degree workload with exec roles can be challenging. What practical things can you do to make this balancing easier for yourself?

  8. Challenge #1 A few ideas… • Your team may also be experiencing this so support each other • Propose sharing tasks when someone has a quieter spell • Diarise your time so that you are better organised • Speak to the SU if you are struggling!

  9. Challenge #2 A committee member isn’t pulling their weight. What do you do?

  10. Challenge #2 A few ideas… • Is this personal or professional? Always back up observations with evidence. • Look at their role description to assess their specific duties. • Are they not fulfilling their role or what you expect of them? • Put yourself in their shoes; think about why they are not fulfilling their role; Personal reasons? Duties too big to be practical for one person? • Arrange to speak with your President who will follow the matter up.
