  1. Family Support On-Line Manuals Search Instructions Developed by the DCBS Training Branch in conjunction with the Division for Family Support August, 2004 To proceed, please press Enter

  2. The search engine for the online manuals is now operational. This tutorial will show you how to do the following: • Conduct a simple search • Conduct an advanced search • Search a specific volume • Disregard certain volumes • Create a shortcut on your desktop

  3. Part I The Simple Search

  4. This should look familiar to all users as it is the opening page of the Family Support on-line policy manuals. To search, you can click the appropriate volume from this page OR you can enter a word, words, or phrase into the search field.

  5. We conduct a simple search by entering search words such as self employment in the search field, then clicking the “GO” button. The search engine will search every volume for the words “self employment”.

  6. 75 links from different volumes have been returned. Users may scroll down to the bottom of the page to see additional pages of returned links

  7. One problem with simple searches is that they will return all instances of the term entered. In this case, 8 pages of links were returned.

  8. The user can click on any returned link to view its contents.

  9. If this selection does not meet the users needs, the user can simply try again.

  10. To return to the search function click the BACK button rather than closing the window. Closing the window will log you out of the policy manuals altogether.

  11. Part 2 The Advanced Search

  12. The Advanced Search Link is located at the top of each page that shows returned links from your simple search

  13. Clicking the advanced search button brings up this screen. Whatever word, words, or phrase you were using while conducting the simple search will be carried over to the top box. Box 1 will search all volumes for the word self and the word employment. Box 1

  14. Using this box alone is very much like running the simple search. The results should be the same.

  15. Part 3 Search a specific volume

  16. In the second box the user can specify which manual to search. In this example the parameters are set to search for self-employment in Volume II, Food Stamp Program Box 2

  17. All returned links are from Volume II. We chose MS 5320 as an example.

  18. Remember to click the BACK button…do not close the window.

  19. In this example the search engine will search through every manual for the words paternity or established. Box 3

  20. By using box 3, we have 206 results from assorted manuals. The search engine hit on paternity and it also hit on established.

  21. Part 4 Disregard Certain Volumes

  22. The search engine can be instructed to skip searching in certain volumes. In this example we are telling the search engine to find the words verifytimely and specifically not to look in Volume IVA Medicaid and State Supplementation. Box 4

  23. Users can always double check the parameters by looking at this line. It searched for verify OR timely and excluded Volume IVA.

  24. To narrow down the search, we bar searching in Volume III, K-TAP.

  25. You can also exclude multiple volumes. In this example Volume III and Volume IIIA will be skipped during the search for paternity or established.

  26. We have 140 hits returned. However you will notice that Volume III and Volume IIIA have been excluded.

  27. Common Search Tips: • The on-line search function is powered by • Do not leave a space between the volume and its number. Enter voli not vol i. • The Google search engine is not case sensitive, you may enter cHilD sUppOrt in the search field • If you are searching for an exact term, enter quotation marks around the word. For example “Food Stamp IPV”

  28. Google will compress multiple pages that contain the same phrase. To display all of the results click on the underscored part of the message.

  29. Part 5 Desktop Short Cut

  30. Sign on to the Internet • Find the dropdown box under documentation • Choose Online Manuals

  31. If you would like a shortcut to the policy manuals on your desktop: click FILE, then SEND, then SHORTCUT TO DESKTOP.

  32. The shortcut will appear on your desktop
