  2. Workflow Project • Workflow project initiative – 2004 • Provide Web-based interface for completing and submitting forms • Re-engineer and replace existing EASY forms • Replace EASY approval paths with ‘role based’ approvals

  3. Terminology • Business Process Management • Activities organizations perform to optimize their business processes • Activities are aided by software tools • Workflow • The management of steps in a business process • Tasks that need to be completed, order, permissions, approvals, etc.

  4. Penn State Workflow • Purchased Fujitsu workflow engine, implemented and managed by Administrative Information Services • Top priority: re-engineer and replace ~75 EASY forms – primarily IBIS and OHR. Estimated to be a 2 year project. • Offer Workflow services to Penn State community

  5. Workflow Project Resources • Full-time Project Manager and Development Group • AIS LDAP/Security & Infrastructure Workgroups • Penn State Workflow Policy Committee • Penn State EASY Re-engineering Committee

  6. Activities / Challenges • Learning and understanding new technologies • Integrating components / central systems • Architecture, design, development • Establish PSU Workflow Policy • Re-engineer 20 year old processes

  7. Milestones 2005 • Deploy Windows & zLinux infrastructure • Develop and deploy 2 pilot forms • Develop and deploy 2 simple EASY forms (SUPP and Procurement Card) • Re-engineer and replace 1 complex EASY form (OHR form)

  8. Milestones (cont.) 2006 • Migrate from Windows to Linux390 environment • Re-engineer and replace remaining EASY forms • Offer Workflow service to Penn State Community

  9. Open Standards Development Group • Dedicated resource to Workflow project • Develop Workflow forms and processes • Open standards development and toolsets
