Who are we? • Men’s Halfway House (1968) 15 bed licensed as a substance abuse treatment program. • Women’s Halfway House (1980) 13 bed licensed as a substance abuse treatment program. • Outpatient Services (1987) has both a substance abuse and mental health license. • All programs are co-occurring capable. • Approximately 35 to 40 employees of which only 6 are administrative with the remainder being clinical. Majority license ADCA, CADC, LADC, CCS, LCPC, 2 LCSW’s

  3. What is our budget: • Total Agency Budget 1.7 million • Revenue Billed $ 950,000 • Other Revenues $ 750,000 • Revenue Sources: • Medicaid • Commercial/Private Payers • Other (including self-Pay) Other Revenue: • Government Grants/Contracts • Foundation/Private

Cost of Billing 3rd Party Billing & Self Pay • Therapist Helper (outpatient only): • Start up Cost $ 4,000 (single provider starts at $549) • We are licensed for 2 users and up to 7 counselors • Maintenance $600 to $700 per year • What we use this for: • 3rd Party Insurance (prints CMS-1500 & HCFA forms) • Tracks client portion (co-pays & self pay)

  7. Billing Medicaid for both residential & outpatient services. We have two options: • Use the new portal to bill Medicaid clients • No cost involved • Disadvantage we do not have the option to print reports • Purchase from outside company • Cost to convert to new system $1,400 • Updates between $500- $1000 per year • Telephone support $100 • Advantage we can generate our own reports and have more accountability.

  8. Staffing • Billing is managed, maintained and managed by Finance Director. • In Residential Programs each Office Manager is responsible for monthly billing. • In Outpatient a bookkeeper/office manager bills weekly. • All managers are crossed trained to be able to ensure that billing is done on time and kept current.
