  2. What is Mail Operation? • A Process of: • Collection, • Receipt, • Sorting, • Closing, • Despatching, • Delivering

  3. Process Based on Twin Pillars of: Speed Economy Both pillars must be well balanced.

  4. Recollect the Mail Sorting Principles:- Mail for home district - Sorted delivery PO -wise. Mail for home circle - Sorted inward mail office- wise Mail for neighboring - Sorted RCC wise. circles Mail for distant circle - Sorted CCC wise Foreign mail - Sorted country- wise.

  5. Metro sorting offices do detailed sorting for other metro cities in the country Maximum number of station bundles to be made Detailed sorting for neighboring district of home circle and neighboring circles

  6. Station bundle if not justified TD / District bundles Metro TD mail not to be mixed with Circle Bundles Detailed sorting for state Capitals and Metro Cities

  7. Sorting usually done in two stages: First stage or preliminary sorting: As all the mail cannot be sent from originating point to destinations directly grouping of mail becomes essential. This is done at preliminary sorting level. Preliminary sorting must ensure the maximum permissible rate of handling.

  8. Out of the total mail handled at preliminary table, 40% of the mail must go to station selected (post offices). Another 40% must go to district TD bundles. Balance of 20% must go far RCC/CCC.=100 Articles

  9. 40% to station selection – 40 X 1 = 40 times the mail is handled only once in originating mail office. They are not re-handled by any other mail office. 40% district TD selection – 40 X 2 = 80 times such mail is handled again in the end mail office (in all end handlings) 20% to RCC/CCC - such mail is handled by RCC/CCC and also by DSO (in all 3 handlings) 20 X 3 =60 times Total number of handling ---------------100180 times

  10. Thus, 100 letters are handled 180 times before they reach delivery post office. The rate of handling of a letter work out to:  180= 1.8 times 100 This is the maximum permissible limit of handling. It is possible to reduce the rate of handling by increasing number of station selections and district selections rather than Circle selections.

  11. The ideal rate of re-handling of Mails is 1.6 How it is possible to achieve it? To include more articles in the station bundle or T.D. Bundle i.e. If 10% of articles sort out by RCC/CCC and also by DSO includes in the Station/T.D. bundles then.

  12. 50% to station selection –50X 1 = 50 times the mail is handled only once in originating mail office. They are not re-handled by any other mail office. 40% district TD selection – 40 X 2 = 80 times such mail is handled again in the end mail office (in all end handlings) 10% to RCC/CCC - such mail is handled by RCC/CCC and also by DSO (in all 3 handlings) 10 X 3 =30 times Total number of handling ---------------100160 times

  13. 160= 1.6 times 100 It Means : more sorting assistants are involved in sorting process then the re- handling of Articles is very high. So the cost of sorting by a mail office is very high & over all its increased the Expenditure of pay & allowances ,
