  1. Data Checks October 2008

  2. Purpose • To improve the data of the Student Records (Registry) Database (QL). • Programme Directors and Administrators will be able to create lists of students on their modules exportable to Excel, where they can be annotated. • The Records Team can then update the QL Database.

  3. Checks • Checks should be carried out during the Week beginning 10th November and not before. This is when student records will be up to date. • Check down to Module level. • Span should be 12 weeks, i.e. Only changes since the last data check will show. • This means that if a department reported the withdrawal of a student in the last 12 weeks, and everything else is the same. The department would only need to confirm that this student has withdrawn.

  4. Gold Reports • Gold Reports • If you are missing modules, or they have no students attached then please contact: data.management@canterbury.ac.uk

  5. Report in Excel

  6. Commenting • You should comment on all students who have a stage description other than “Enrolled”. • Prospective (PRS) – Student hasn’t enrolled but is expected to. If you haven't seem them or they are not on this programme then annotate as “Not attending” or “Not expected”. • Withdrawn (WDR) – Annotate as “did not register” or “personal” or “not attending”. • Interrupted (INT) – Such a student would appear as part of the cohort for the year. If the student has returned annotate as “returned”. • Did Not Register (ZZ) – This applies to first year students who didn’t register more than 6 weeks ago.
