Chapter Membership • 2008-2009 Chapter President – Mollie Taggart • Denver, Colorado • 205 Members at the beginning of year • 201 Members currently • Large Chapter Size Category • Membership Goal for 2008-09 – did not have one specified. • Recruiting and Contacting – we send welcome emails/letters, introduce new members at chapter meetings. Encourage chapter members to promote ARMA. • Chapter volunteers – formed networking/socializing committee, programs committee and spring seminar committee (although it was not utilized). • What months and day of the month do you hold educational meetings – September through June, third Tuesday’s, majority lunch meetings in central location. • Methods of communicating with members – newsletter, e-mail, meeting announcements, telephone. Board of Directors • # of Members - 12 • Types of Positions– Officers (6) and Directors (6). • Meetings – 2nd Tuesday of the month, each member reports on activity and assignments in their area. • Good – Our board is great! We work well together. • Challenges – One member was out the last 4 months with a medical issue. One member did not attend as often as we would have liked. It made putting together the Spring Seminar difficult. • Board Transition of Members – June business meeting for installation of officers, July planning meeting for transition. Our documents are on our SharePoint site. • Recruiting/Succession planning– All positions filled for 2009-2010. We have talked to members about 2010-2011 already. Recruit early and often!! September 2008 • Meeting Date: Tuesday, September 16, 2008 • Time of Day: 11:00 – 1:15 pm (Lunch) • Attendance #’s: 63 Members & 6 Non-Members • Topic: Navigating Your Career in RIM • Speaker: John Frost, CRM, President , ARMA International • Comments: Loss of $321.44. October 2008 • Meeting Date: Tuesday, October 14, 2008 • Time of Day: 11:00 – 1:15 pm (Lunch) • Attendance #’s: 49 Members & 9 Non-Members • Topic: Protecting Your Hosted Records: Third Party Due Diligence • Speaker: Sheri Nystedt, CRM and Stephanie McCutcheon, CRM • Comments: Loss of $122.64. Although the topic was good we had a horrible problem with the sound system and could barely hear the speakers. November 2008 • Meeting Date: Monday, November 17, 2008 • Time of Day: 11:00 – 1:15 pm (Lunch) • Attendance #’s: 52 Members & 19 Non-Members • Topic: Building a RIM Program: Engaging Business Units and Leveraging SharePoint • Speaker: David Fong & Tyler Selle (Qwest) • Comments: Loss of $338.53. Members appreciated hearing how Qwest tackles the challenges of building its records program. Could have had more on the actual sharepoint piece. December 2008 • Meeting Date: Tuesday, December 16, 2008 • Time of Day: 11:00 – 1:15 pm (Lunch) • Attendance #’s: 61 Members & 6 Non-Members • Topic: Leadership and the 7 Habits • Speaker: Jeff Carney • Comments: Loss of $3,543.30. Was very well received. Engaged the audience and kept everyone’s attention even though it ran a few minutes long. This was our free to chapter members meeting. It was also the highest attended Dec meeting in 6 years. This was more personal and professional development instead of straight records topic. January 2009 • Meeting Date: Tuesday, January 20, 2009 Half-day Workshop • Time of Day: 8:00 - 11:00 (Morning Workshop) & 11:00 – 1:15 (Lunch) • Attendance #’s: 56 Members & 8 Non-Members Workshop • Attendance #’s: 65 Members & 12 Non-Members Lunch • Topic: RIM 101 Establishing a Records & Information Program & Compliant Electronic Records Destruction • Speaker: Scott Ward, Ameriprise • Comments: Loss of $2,592.22. The workshop was free to anyone who wanted to come. Biggest challenge was the speaker talking too fast and the sound system becoming mushy. Made it hard for some to hear. February 2009 • Meeting Date: Tuesday, February 17, 2009 • Time of Day: 11:00 – 1:15 pm (Lunch) • Attendance #’s: 68 Members & 28 Non-Members • Topic: Legal Issues Related to Electronic Records Retention • Speaker: Donald Skupsky (IRCH) • Comments: Loss of $1,079.43. The topic and speaker were a real draw and well received. This was the highest attended meeting of the year. The speaker was knowledgeable and interesting. March 2009 • Meeting Date: Tuesday, March 17, 2009 • Time of Day: 11:00 – 1:15 pm (Lunch) • Attendance #’s: 48 Members & 8 Non-Members • Topic: It Takes Two to Tango: The Synergy of Records and Content Management • Speaker: Gordon Hoke, CRM • Comments: Loss of $1,923.74. May 2009 • Meeting Date: Tuesday, May 19, 2009 • Time of Day: 11:00 – 1:15 pm (Lunch) • Attendance #’s: 39 Members & 4 Non-Members • Topic: Reinventing and Revitalizing the El Paso County Records Center, Planning, Budgeting, and Contract Manager for Information Technologies • Speaker: Steven W. Veatch • Comments: Loss of $717.71. Speaker was very enthusiastic and passionate about his program. Encouragement for those who “fall” into the role of Records Manager. June 2009 • Meeting Date: Tuesday, June 16, 2009 • Time of Day: 11:00 - 1:15 pm (Lunch) • Attendance #’s: 48 Members & 5 Non-Members • Topic: A Gentle Introduction Into Social Networking; Annual Business Meeting and Election of Officers • Speaker: Jesse Wilkins • Comments: As always, Jesse was well received. Some members in attendance still getting familiar with some of the social networking tools. The business meeting went smoothly with Jesse swearing the officers in as ARMA Board Member. Spring Seminar Report • Topic(s): *Records Management and IT: Bridging the Chasm of Misunderstanding *Communicating with IT *Successful Strategies for Selling Records Management to Senior Management, Board Members, and Records Management Stakeholders • Speaker(s): Dr. Timothy P. O’Keefe and Dr. Mark Langemo, CRM, FAI • Meeting Date: April 7, 2009 • Attendance #’s: 62 Members & 23 Non-Members • Vendor Involvement/support: Good vendor involvement. 16 vendors total – 4 Gold Level – both breaks and meals were sponsored. • Comments: Loss of $844.83. Despite the last minute sprint, this event was well executed and received very positive feedback. The speakers were very engaging and really got the audience involved.   14. Special Projects • Charity – Fisher House. Board decided we wanted to form a relationship with a charity and keep it consistent. • We have good relationships with our vendors. Half of the chapter meetings were sponsored. • We have awarded 2 Chapter Scholarships this year. This includes ARMA and chapter dues. All chapter meetings and Spring Seminar. We promoted it heavily this year and had 6 apply. • We provided encouragement and support (almost $600 for expenses) to the new Western Colorado Chapter.   15. Special Projects – Board of Directors • We formed a Networking/Socializing Committee for the first time. They coordinated 2 networking events in different areas of Denver. Each had 25-30 attend and several were chapter members who have challenges getting to the lunch meetings. These were timed for late afternoon with appetizers provided.   16. Good, Challenging & Different • Good: Goal to spend down chapter financial surplus. Left meeting price and chapter dues the same even though costs were going up. • Good: Provided the December meeting and January Morning Workshop free to all chapter members. • Good: Networking events. • Challenge: Downtown Denver provides a central location but continually frustrates the members with the parking situation. The costs are always going up, the food is not consistently good, room temperature is always freezing and the A/V presents a costly challenge. • Challenge: The coordination for the Spring seminar never materialized from the Education Director so a lot of tasks were completed at last minute. Lost money just trying to get program together instead of managing it. • Challenge: Programs Director faced health issues. We are unsure if she will be able to continue in the second half of her term. • Different: Taken control of Spring Seminar sooner. Conclusion • Develop and map to a strategic plan. • Adjust financial goals to economic factors. • Refine planning aspect of spring seminar event. • Continue to improve venue for monthly meetings (equipment, temperature, etc.) • Define parameters around Chapter Scholarship award.
