Account Schedules - Introduction Your Instructor – Kerry Rosvold In the last seven years, Kerry has served as the finance lead for the implementation of NAV as a new ERP solution at two different companies.   Kerry has presented numerous webinars for the User group including sessions at NAVUG Forum and Microsoft Convergence.  Kerry also serves on the NAVUG Programming Committee.  Kerry Rosvold is currently the Corporate Controller at Augsburg Fortress Publishers, located in Minneapolis, and has been a NAVUG member since Convergence 2009.

Account Schedules - Introduction What are you going to see today? • My company’s live data, shown in NAV2009 • We are not using the role-tailored client • Our NAV is highly customized for our publishing software, but this does not effect Account Schedules • Lots of examples • A viewpoint from another end user, just like you, who uses Account Schedules daily

Account Schedules - Introduction Why do I use Account Schedules? • Direct tie-in to the General Ledger – best way to get to the “truth” • Drill-down capabilities • Allows complete customization of financials • Ability to integrate with Budgets • Dimension filtering is easy with AS • Information downloads well to Excel • As a Finance user, I can build them myself without help from IT • Comes with NAV, no additional/separate reporting package needed

  6. Account Schedules - Introduction A word about BI/Reporting Add Ons Am I anti add on? No! I’m just PRO account schedule! I know that many companies don’t have the money or expertise to implement an add on BI/Reporting solution that will be more robust than Account Schedules. Many companies need these types of solutions in order to enhance their reporting in areas other than in financial reporting. However, in the area of financial reporting, I believe that companies can get what they need through account schedules.

Account Schedules – Basic Elements Getting Started • Located on the Financial Management Menu • General Ledger => Analysis & Reporting • Each AS has a Code & Description as well as a Default Column Layout and Analysis View Name • All AS start with definition of a Row Layout • Once this is defined, add Column Layouts and Filters as needed

  11. Account Schedules – Basic Elements Row Setup • Fields to Start with • Row No. • Description • Totaling Type: Posting Accounts • Totaling • Row Type: Net Change/IS or Balance at Date/BS • Amount Type: Net Amount

Account Schedules – Basic Elements Column Setup Hint: use AccSched=>Overview to see schedule • Default Column Layout will show Net Change for dates selected Functions=>Setup Column Layouts will go to where more layouts can be defined • Fields to Start with: • Column No. • Column Header • Column Type: Net Change, Balance at Date, more • Ledger Entry Type • Amount Type • Formula

Account Schedules – Basic Elements Formatting • Row Setup • Totaling Type allows selection at the line level of underline and double underline options. • Show/Hide • Show Opposite Sign • New Page • Bold, Italic, Underline • Column Setup • Show/Hide • Show Opposite Sign • Rounding Factor – Used when printing directly out of NAV only

  14. Account Schedules – Basic Elements Filtering for Date • Two places where dates can be filtered • Top of screen (manual) • Bottom of screen (auto) – Preferred method since it will not override the date parameters in the row and column layouts.

Account Schedules – Basic Elements Formulas • Row Setup • “Totaling Type” of Formula along with population of Totaling allows basic calculations. • Set Base for Percent also available here. • Column Setup • “Column Type” of Formula along with population of Formula allows basic calculations. • Comparison Date and Comparison Period Formula fields are found here. • Dimension Totaling also happens at the Column level.

Account Schedules – Basic Elements Printing and Exporting To Excel • Print directly from AS only works for some things • Portrait view limited to 6 columns • Landscape view with more can be found under Reports=>Financial Statement • Export to Excel using Create Workbook option • Export to Excel using Update Workbook • Retains Excel formatting • Can update tabs in Excel worksheet • Just for fun: Bar Chart view

Account Schedules – Adding Power Adding Power with Dimensions • Account Schedules will automatically select the two Global Dimensions to filter on as a default. • Use of Analysis Views will add more flexibility, allowing you to choose which four dimensions that you wish to use in your Account Schedule at one time. • Dimensions can be used in both Rows and Columns, as well as in combination with each other.

Account Schedules – Adding Power Analysis View Setup and Maintenance • Drill down on the Analysis View Name field from the list of Account Schedules. • Add a new view and choose the desired dimensions. • Don’t forget to update! Analysis Views must be updated in order to receive new postings. This can be done manually, using the update button at the bottom of the screen, or it can be done automatically, by scheduling codeunit 410 Update Analysis View, as a regularly scheduled maintenance item.
