University of Minnesota: Environment Ex Libris Aleph ILS Default catalog interface is Ex Libris Primo • Deduplicates and FRBRizes ILS records Multiple record policy since 2003 No attempt to merge batch loaded records into single provider-neutral record Separate teams for record preparation and loading • Records are edited in MARCEdit by catalog librarians • Edited records are loaded into Aleph by Technical Services staff overseen by systems staff. MARCEdit used as primary editing tool; additions to some established collections edited through Aleph server-side fixes.
University of Minnesota: Environment 17,412 ebook records batch loaded in 2011 in 125 record sets.
Objectives Identify and categorize: • Common errors • Critical errors • Divergent practices among vendors • Inconsistent practices by the same vendor • Omissions that may potentially affect access
Other Considerations Important issues out of scope for this study: • RDA and its potential impact on provider neutral practice • Timeliness of record availability and updates when there are additions or access changes • Coverage (getting records for all and only the items you have) • Workflows • Redistribution (ability to share records) • Cost • Process for updates and corrections • Vendors' responsiveness to feedback • Models for collaboration Some of these issues are covered in a report by the Task Force on Vendor-Supplied Bibliographic Records for CIC E-Content Purchases
Methodology • PCC Provider-Neutral Record and Monograph Aggregator Vendor documents used as guides • Checklist of fields • Checklist of potential systemic problems • List of problems found in individual records • Recorded data as we worked with record sets we were loading; archived original unedited records
