Plans for TG’11 in the context of XD transition • Assumption that TG’11 will be the coming-out party for new XD award or something new/different • Richard and John will be co-chairs • Agreement that TG team plans the conference jointly, and whichever XD team wins will take the lead when announced • Block out plenary talks/track sessions that will be the purview of the XD winner – to be determined after the award announced • NSF has agreed to commit funds so NCSA (TBD) can enter into hotel contract (contingent funding?); have hotel invoice the XD winner? • Action item for Heinzel/Moore/Towns to submit a transition supplement request • Plan is that we should know XD winner by the time we need to designate a banker for registration fees, sponsorships and payments

Time/Place • Will not co-schedule TG’11 w/ other conferences (e.g. HPCMP, SciDAC) • Considering two potential dates: • NO: June 20-23 – HPCMP (Portland, OR) • June 27-30 [ note – Intl Society for Technology in Education is June 26-29 (Philadelphia ) ] • NO: July 3-7 – holiday week and ICLS July 4-11 (Hong Kong) • NO: July 10-14 – SciDAC (Denver) • July 18-21 • Locations: want site that is XD-neutral, reasonable airline access, cost-effective … reasonable weather in summer, etc. • Denver • Salt Lake City • St Louis • Pending this TG QM discussion, plan to send an RFP to CVBs for those 3 cities for the two potential dates • Will then evaluate facilities and costs for available venues

Schedule • (This meeting) • Decide on potential sites/dates • Discuss branding: TG’11, TG/XD’11, XD’11 (rough consensus that it’s TG/XD’11 or TG’11) • (Sep 3) Send RFP to CVBs for potential sites/dates (10/4 due date) • (Sep 10) Send out note TG-wide asking for conference committee volunteers • (Sep) Matt/Richard/John submit request for transition supplement • Also cover TRAC transition meetings, anything else? (Separate agenda item) • (Sep) Request for volunteers for program committee • (End Oct) Finalize hotel/venue and sign contract with hotel • Room guarantees are tricky • (Oct/Nov) Once city selected, find volunteers to serve as conference planners/”banker” (NCSA/SDSC?)/technical advisors • (Nov 1) Stand up web site and announce the date/location • (Nov) Create TG’11 poster and call for participation handout to be distributed at SC’11
