  9. News Upcoming WSIPC CEDARS VTC’s • Tuesday, May 25, 2010 at 1:00 PM • Wednesday, July 28, 2010 at 1:00 PM NEWESD 101 will host these two VTC sessions. WSIPC and OSPI staff will be present to answer questions! Please see the Notes section of this slide for important dates and contact information if your district wishes to host one of these VTC sessions. Also please note that WSIPC is requesting questions be sent to them prior to the VTC in order to provide a complete response.

CEDARS Federal/State Ethnicity & Race DESCRIPTION OF ISSUE: • Per OSPI Bulletin B004-2010 and Addendum to B004-2010, there are federal and state requirements for local education agencies and institutions to collect and report ethnic and racial student information. The current Local Race, Ethnicity and Federal Race fields in Web Access and WESPaC are not sufficient to collect the required federal and state elements as outlined in Bulletin B004-2010. Data is required to be submitted in CEDARS file L and M in school year 2010-2011.

CEDARS Federal/State Ethnicity & Race NEXT STEPS: Ethnicity The following changes have been sent to Skyward for the State of Washington to meet the requirements for entry of federal and state ethnic and racial student information: • Web Access: The current Ethnicity field will be changed to read Federal/State Ethnicity. This will be a hyperlink of valid codes (Appendix Y – Ethnicity codes) and will not be a required field. OSPI will validate this field in File L. If a code of 10 (Not Hispanic) is selected, no other selection will be allowed. If any other selection is made, other selections will be allowed. • WESPaC: The current Ethnicity field will be removed.

  13. CEDARS Federal/State Ethnicity & Race NEXT STEPS: RACE • Web Access: A State Race field will be added. This will be a hyperlink of valid codes (Appendix Z - Race codes) and will not be a required field. OSPI will validate this field in File M. Multiple selections can be made for a student.

  14. CEDARS Federal/State Ethnicity & Race NEXT STEPS: RACE • Web Access and WESPaC: The existing Federal Race field will be modified to be a display only field, with the existing values. The value that displays will be derived from the State Race values selected in the State Race field. Each State Race code is tied to a Federal Race aggregate value (i.e., Black or African American, White, American Indian or Alaska Native, Asian, and Native Hawaiian or Pacific Islander). This is the value that will be displayed in the Federal Race field. Currently this value is not reported in any CEDARS file or any other Washington State Report.

  15. CEDARS Federal/State Ethnicity & Race NEXT STEPS: RACE • Web Access: A new value will be added to the Race/Eth Verified By option, labeled Family Access. Anytime a guardian validates Federal/State Ethnicity or State Race in Family Access, the new value will be selected automatically as the Race/Eth Verified By method.

CEDARS Federal/State Ethnicity & Race NEXT STEPS: RACE • Web Access and WESPaC: The existing Local Race field will be moved to the bottom of the existing screens and will be changed to a non-required field. There will be configuration settings that will allow the display of this field and/or the update of this field. This field will no longer be used for CEDARS reporting after the end of the 2009-2010 school year.

CEDARS Federal/State Ethnicity & Race OTHER Considerations: • Configuration options (defaulted to No) will be added to both Educator Access Plus and Family Access, by Entity, to allow the display of the following fields on the Student Information screen: • o Federal/State Ethnicity • o State Race • o Federal Race • o Local Race • The following areas in Family Access will accommodate the new and revised fields: • o Pseudo Change • o Online Registration • o General Information-Ethnicity/Race

CEDARS Federal/State Ethnicity & Race PROCEDURE: • Until release of the new Federal/State Ethnicity and State Race fields, continue to record a student’s ethnicity in the Local Race field, which is reported for CEDARS purposes in File B (District Student) in Element 11 (Ethnicity Code – CSRS Transitional). DATA MANIPULATION/MASS UTILITY: • We are currently exploring options to populate the new State Race field based on the existing value in the Local Race field, for the following values only: • White, and/or • African American or Black RESOLUTION: • The new fields for CEDARS will tentatively be available in the April Standard Release. The schedule for reporting this data in Files L (Ethnicity) and M (Race) in CEDARS has not yet been determined.

  19. New in Family AccessFederal/State Ethnicity & Race In Family Access there is a new option called Online Registration. There are predefined forms in Online Registration. Skyward will be adding the form for Washington Ethnicity and Race. Currently the ‘Verify Ethnicity/Race’ form is the Federal Ethnicity and Race form. Watch for more information in the April VTC.

District Security UserAccount Lock email Notification Skyward District Security Administrator You now have the option to receive an email when a user’s account is locked (inactivated by the system). PS/CA/SE/PS/CF (District Configuration) Login Attempts must be greater than zero and check Email Account Lock Notifications. Select the Email account from the User list. Note: Only one email address per district.

  29. HIGH SCHOOL & ALECourse MasterCourse Category - ALTERNATIVE A new course category has been added to accommodate CEDARS reporting. All Courses with a category equal to TRANSFER will be reported with a school code of 9999 (School not in your District). If the course was taken in your district, reporting 9999 is invalid. A new course category has been added to Skyward for courses offered or graded by your district that would need the description changed when using Grade History. Alternative: Course graded in your district, needing description change. For Example: Running Start and Credit Retrieval Courses Transfer: Course not taken in your district, used for WA transcript only. Regular: Course offered in your district on a regular basis. NOTE : No longer use Regular Courses for courses taken in a different school district, you must use Transfer courses. Be sure your Regular Courses have the category Regular.

  30. Course MasterActivity Link • If an Activity Link is on a Course, students scheduled in this course will be automatically added to the Activity Code. When scheduled courses are dropped, students are removed from the Activity. • Limit one Activity Link per Course. • Suggestions for use: Advisory Classes, Special Education Classes, Art, Band, Chorus (any clubs) • Remember, when students are in Activities, the Progress Report in My Activity can be used to report progress.

VOC Tab removed from WESPaC The April Standard Release Web Access: In Student Profile (WS\SM\ST) the Vocational Ed tab and screen will be re-labeled to CTE, which stands for Career and Technical Education. New fields will be added to enter all appropriate information when a student has completed a Tech Prep program. Data Mining will contain all of the new fields. WESPaC: Because the CTE data will reside in a new table, the Vocational Ed tab will no longer be available in WESPaC.

  41. Set Up Favorites • From a Screen you visit often • Select Favorites (upper left) • Select Add (screen name) to Favorites • Build a list of Favorite screens you use, up to 99

  42. Favorites:Short Cut Key In Preferences, choose the ALT Key or Ctrl Key as your Short Cut Key. This makes the first nine favorites activated with the Key combination and number.

  43. Favorites:Short Cut Key After setting your short cut key, the first nine Favorites will be numbered. Hold down the Alt or Control Key and press the number you want from any screen in Skyward. You will go to that ‘short cut’ screen.

  49. Cloning Courses to the 2011 School Year Many of you choose to not clone your courses to 2011 until you have your State Course Codes and Content Areas entered. Remember to Clone the Course Codes before you start the 2011 scheduling. Please call if you need assistance!
