  4. E Commerce/Digital Media Updates • The Ecommerce team is now running independent “monthly” promos. We are open to weekly and alternative time frames and are interested in hearing any offers or promos you would like to present in the upcoming months. Please let the product selection buyers know if you are interested in pitching a product or promotion for the site. Product Selection will continue to be the point of contact for purchasing and allocating product to the site. • Rachel Stachowiak will be maintaining the promo calendar and managing campaigns. Listed Listed Quotation Forms • Do not send quotes unless a category manager asks for them • All quotes must be sent to Gwen Weihbrecht gweihbrech@pa.gov with the category manager copied • Quotes sent anywhere else (or directly to the category managers) will not be accepted • Quotation forms with errors will not be accepted until correct. • We reserve the right to cancel a purchase agreement if a quotation form has to be returned multiple times

  8. Cost/Retail Increases • Will continue to be accepted quarterly. • Submission due July 1 for OND 2019 • Submission due Oct 1 for JFM 2020 • Cost Decreases will take effect: • When inventory is at a low point before next PO arrival • At the beginning of the closest available non-sale month, in which the above is met • Cost Increases will take effect: • At the beginning of the closest available non-sale month • Reasons why price changes may be delayed: • Back to back sale months • POS materials have been completed or being worked on • Price change set for next available non-sale month • Overstock of inventory. • SPA Lock Date has passed for requested month

  9. Current Listing Cycle Update • Presentation items communicated this Friday April 26, 2019. • Delist criteria based on sales through March 31, 2019. • Presentations to be held May 13-May 17. • Process will be the same as the last few cycles and we will continue to monitor time allotments.

  10. Holiday Items • Email was sent April 3, 2019 • Submissions due this Friday April 26, 2019 by midnight. • No late submissions accepted. • $150 fee per submission, checks due COB May 3, 2019. • Late checks = items not considered. • All items submitted are considered one-time buys. • Expect negotiation • Notified of acceptance by COB Wednesday, May 31, 2019. These items will also be accompanied by the expected distribution center (DC) due date for each. • Holiday Item Delivery • Fall items -  August 9, 2019 • Halloween items - September 6, 2019 • Holiday packages - October 4, 2019 • Late arriving items will be refused. • By distribution center

Luxury Luxury Offerings 2019 • Luxury Offering #2 is currently have POs cut, Offering #3 POs will start being issued by April 29th. • Luxury Offering #4 is currently being reviewed by the Category Managers and will go to the stores on May 7th. New Offering requirements • If you receive a notification that an item(s) have qualified for a Luxury Offering, you are now required to send a tech sheet about the product to the Category Manager.

  12. Luxury Luxury SPAs or Programs 2019 • The Luxury division is always open to more SPAs and also monthly programs to incorporate into our stores. Luxury – Holiday Season 2019 • I would like to have the majority of the Luxury products that will be in the stores for the holiday season ordered by the end of August. • Any Luxury Wine or Spirit purchased after October 1st, will be set for release in 2020.

  13. Product Samples • All samples that are sent in for Listed/OTB/Luxury/Chairman’s should send 2 samples (at least one needs to be the finished bottle ready for sale). Product Supporting Information • Category managers will request Standard Quotation Forms. When sending the Quotation form also include, Front and Back TTB approved labels and hi-res bottle images for the item. Additional Requirements for Digital Assets • Please carefully review the requirements for all items that are purchased in the attached PDF.

  14. Special Order • Labels are now a rare problem • Check status of order BEFORE shipping. Store cannot receive into their system if the order is not in Ready to Ship status. • Short shipments have improved. Thank you for you help on this. Please remember that orders not delivered in full cannot have the missing product delivered later against the same P O. They must be delivered on a new P O and the customer credited by us for the missing product on the original P O.

  15. Returns • Remember you may not do an exchange between you and the licensee on returns or mis-shipments. Mis-picks or bad product must be refunded against the original order and correct product must be shipped on a new P O • Sales reps may not pick up product and take to store on the customers behalf • LOVS Orders---This continues to improve with no barcodes on these labels. • Recalculating on Orders—Please remember to always use the recalculate button before clicking apply. This is especially important on repeat orders. Failure to click recalculate on an order you copy, may not pick up any price changes submitted for items on the order.

  16. Other Concerns • Do notcall or email stores with issues concerning missing items on an order, incorrect receipt of the order, payment questions etc. Stores cannot help you without instruction from SO. Contact us first! • Sales reps, delivery drivers should not tell stores to adjust orders, this only causes issues. • Pick up of cancelled orders and returned product. 30 days or destruction at your cost. • Issues with deliveries made by L&M Warehouse. Some of these drivers are trying to deliver to stores without the proper tools to unload the deliveries and are expecting Store Employees to unload for them. Some of our stores have other restrictions to weight etc, due to their location and the trucks are either too big or too heavy. If you use L&M for delivery, please contact Karen in SO to discuss the issues.
