Group Communication • The communication takes place among number of people • As number of people are involved in GC, it demands extra care for the effective delivery of the message; • Common Language • Appropriate use of body language • Congruity between verbal and non verbal language • Different cultures • Different psychology

  3. Forms of Group Communication • Depending upon the structure, purpose, characteristics and procedure, group communication takes various names such as: • Meeting • Seminar • Symposium • Panel Discussion • Conference • Convention • Group discussion etc.

  4. Group Discussion • It is a form of group communication. • A particular number of people (approximately three to eight) meet face to face • Discussion among the participants on an agreed common topic • Through free interaction, they generate/ originate ideas, share information, evaluate ideas, plans to arrive at a decision or solution to a problem.

Utility/Purpose: • Used for decision making and problem solving in various organizations • Used widely for personality test to evaluate several candidates simultaneously. • To short list the students for final selection • Ideas can be generated • Ideas can be shared • Information can be given effectively • Attitude, views and ideology can be changed • Interpersonal bond can be strengthened

  7. Types of Group Discussion: • Organizational Group Discussion • Brain Storming Organizational GD • Nominal Organization GD • Delphi Organizational GD

Types of Group Discussion: • Organizational Group Discussion • Why Organizational Group Discussion: • Today, the autocratic nature of bosses is not accepted. • As the organizations are becoming multicultural, it has become necessary to know what others think • The modern business world has replaced the notion of ‘individual decision’ by preferring ‘group decisions’ • Hence, used for decision making among the members of an organization • And to arrive at a particular consensus

  9. GD as a part of selection process • Today, organizations look for people who can work in team. Team work has become crucial to organization’s success. • Organizations want their employees to possess not only technical expertise but also communication skills and interpersonal skills. • No organization prefers to recruit candidates merely on the basis of their degree. • The recruiters do not want only ‘paper tigers’.

GD as a part of selection process • Rather they want people with multiple intelligences, social skills, and communication skills. • Aptitude tests are not adequate enough to judge a candidate’s overall personality. • GD is very effective and useful tool to assess all such skills • Hence, it is conducted for the selection of applicants for job or admission • It has become indispensable criteria for choosing appropriate candidates

GD as a part of selection process • It is observed that candidates who score 80-90% marks in the aptitude test failed to participate in GD effectively and significantly. • Not mere talent but other skills make the candidate eligible for a job position or admission. • Therefore, GD is used to assess the personality of candidates, their communication skills, subject knowledge, general knowledge, group behavior, leadership quality, interpersonal skills and their ability to work as a team. • Mostly, GD is conducted soon after aptitude test and before personal interview.

GD as a part of selection process • Number of participants: • There is no fixed rule or standard for the number of participants in GD. • Normally, eight to ten candidates form a leaderless group. • They are assigned serial numbers. • Clear instructions are given that they should not disclose their names, each one is addressed by numbers like 1, 2, 3… or letters A, B, C, …

GD as a part of selection process • Seating Arrangement: • It differs from place to place. • General round/ oval seating arrangement is made so the participants can see and speak to each other. • Time for preparation: • Depends on the situation. • In many GDs, time is given for the formation of ideas or preparation for the topic.

  14. GD as a part of selection process • Time for GD: • Depends on the situation. • Generally lasts for 25-35 minutes. • Appointment of a leader: • NO leader is appointed for the group. • The leader emerges out of the discussion.

GD as a part of selection process • Subject for GD: • The topics for GDs are not announced in advanced but topics are given at a time. • The topics will be such that can serve the intention of GD as to assess the General awareness, interpersonal skills, mentality, point of views, communication skills. • The subject may be in form of topic or case study.

GD as a part of selection process • Subject for GD: • The topics are given generally to examine general awareness, reading and access with the world. • Case study is intended to assess the logic and decision making ability of the candidates. • The participants supposed to study a case from multiple perspectives. It tests the candidates’ analytical ability and judgment.

GD as a part of selection process • Types of GD topics: a)Abstract and imaginative • Here, the candidate can present his/her ideas using the power of imagination and innovation. • The participants have to create, imagine and innovate in abstractness. • For e.g.: • A date with victory • If I gate wings….. • If I were immortal • If I got time machine • My idea of an ideal education system • My ideal of an ideal India • Utopia etc.

GD as a part of selection process b) Factual and knowledge based • These are real or theoretical topics based on education, scientific, social, political, economical and various other theoretical concepts. • For e.g.: • The impact of advertisement • The impact of cartoon on children • Information security • Quality of higher education in India • Future of small scale industries • Global terrorism

GD as a part of selection process c) Argumentative or Disputable • These topics are based on any social, technological, cultural, educational controversy or issues. • However, this differs from debate. In debate we have fixed side. • But in GD, we testify both the sides without accepting and rejecting it.

GD as a part of selection process • FOR e.g.: • Should mercy killing/euthanasia be legalized • Should the death sentence be abandoned • Whether India will be super power in 2020 • Should English be replaced by the mother tongue or Hindi language • Should one religion be held responsible for terrorism • Whether social networking sites be banned • Whether leaders are born or made

GD as a part of selection process • Role in GD: • Seeking information: • The participants seek information by asking queries, doubts and problems. • Giving information/opinion: • The participants give information/ judgments/ opinions about an issue . • Summarizing: • To summarize the whole discussion. • Evaluating: • To evaluate each other’s ideas and take appropriate decisions. • Coordinating: • It plays an important role in GD. It reveals the mentality of the participants.

  25. GD as a part of selection process • Tips for participation in GD: a) Be a voracious reader • The topics for GDs are always current issues. The participants should be through with current affairs reading various source of information. • One who reads is the one who leads in GD.

GD as a part of selection process b) Carry pen and paper: • The moment topic is announced to the participants, they are supposed to note down as many ideas as possible and organize them well. • The paper helps the participants to organize their ideas before speaking. • Sometimes, to carry paper and pen is not allowed.

GD as a part of selection process c) Listen to the topic carefully: • For the better and broader understanding of the meaning, scope and nature of the topic, it is necessary to listen the subject carefully. • The participants should not ask the evaluators about the topics. It shows ignorance and negligence on the part of candidates. • The more you listen attentively, the more you think effectively. • The more there is input, the more there will be output.

  28. GD as a part of selection process d) Do not hasten to initiate: • Do not initiate abruptly • Take your time to understand the topic • Take the initiatives by doing following three things: • Greeting the participants • Announcing the topic • Defining and introducing the scope of the topic

  29. GD as a part of selection process e) Speak clearly and confidently. f) Do not speak for longer duration g) Listen attentively and critically h) Be open to criticism i) Show good group behavior

GD as a part of selection process j) Practice interpersonal skills such as leadership, assertiveness, good group behavior, decision making, problem solving, negotiation skills etc. k) Use formal and acceptable language: • Avoid using slang and informal expressions l) Use non verbal language effectively m) Encourage non participants to speak

GD as a part of selection process n) Do not become negative participant • Blocking other participants • Dominating a group • Clowning – making unproductive jokes • Withdrawing from GDs etc. o) Manage your time p) NOSTUIESO(No One Speaks Twice Unless Everyone Speaks Once) • The participant should speak and allow others to speak

GD as a part of selection process q) As soon as you know the topic, either speak in favor of the topic or in against of it thoroughly. r) Try to represent the maximum facts either to support or to contradict the issue s) Use simple and lucid language t) Try to disclose the valid reasons for supporting and contradicting your views

  33. GD as a part of selection process u) Criticism is taken positively in GD and hence, it will be in candidates favor. v) Give ample evidence too gently but firmly to influence the group and become leader

GD as a part of selection process • Don’ts for GD • Avoid blunt statements • Avoid the anger or aggressive mood during the discussion • Don’t interrupt while others are speaking • Don’t shout or cry while it is going on • Don’t make fun of others • Don’t tease other participants • If your views are criticized, no need to be upset or feel nervous
