Saturday, December 26th • Instrument Storage (Instruments dropped off) • 1200 Pit arrival and loading of trailer • 7 pm Chaperone Arrival • 8 pm Student arrival – get with Chaperones and check in. • ~9 pm Trailer Departure • 10 pm Prep Luggage for Bus Loading • Assigned leads (Chaperones) take-over, Luggage, Coolers, Parade, Competition, Champs Bowl and the specific items they have been assigned. • Band Equipment (Plumes, Water, Coolers, Parade Banner, Uniforms (three extra), hat boxes (3 extra), etc) • ~11 pm Busses / Transportation arrive at BHS • Load Busses • Final check to make sure students have spending money • 11:55 pm Busses Depart for Orlando

  5. Saturday, December 26thDeparture Time: 11:55pm Considerations • Clothing • Students are advised to wear something comfortable, but not private. This is a bus, and sleeping in the seats is never easy, but made considerably more uncomfortable with tight jeans or other restrictive clothing. That being said, they will need to get up for breakfast and again for a lunch while in Orlando. • Food • The next time they will eat will be determined by the bus drivers and chaperones depending on restaurant availability (and ability) for 150 people. Time would be +/- 8:00am. If your son or daughter has a high metabolism or otherwise likes to snack, please have them prepared. • Entertainment • The busses are equipped with TV screens and DVD player. Movies that are shown are PG-13 or less, and students can not bring and personal entertainment device or movie (even on an IPOD) that is rated above PG-13. • Sleep • In a perfect world, the students would get on the bus, talk and have fun till we hit 95 South and then go to sleep. Since we do not live in a perfect world, many will not want too… Each busses chaperones will make sure that students are quiet and in their seats “resting” after 1am. 8pm on… Arrivals at Battlefield High School and Prep for the bus trip to Orlando. Uniforms, pit equipment, drums and other large items will be loaded onto the Pit Trailer Pit Trailer will leave prior to Busses Busses will be loaded by students, chaperones and a team of parents / adults who are not traveling with the band. Students should use the restroom PRIOR to leaving… They will be on a bus and the bathroom is well – not meant for constant use… Final check of the area and closing of the school. A cell phone is requested for each student or at a minimum to be with another person with one at all times.

Sunday, December 27th • 8am-ish Breakfast call (Bus drivers to coordinate) • 1pm – 3pm • Prior to arrival in Orlando – Call to Hotel (rooms ready) • Arrival in Orlando – Lunch (CiCis Pizza) • 4pm Roll-in / Arrival at Hotel • Chaperone to pick up Key Bags for Rooms (Directors, Chaperones, Students, Bus Drivers) • Pit vehicle parking confirmed for its arrival • Bus parking • 5:15pm Transport to Universal • 5:30pm at Blue Man Group Stadium • 8pm-ish Dinner and time at CityWalk after the show • 9:15pm buses back to Hotel • 10pm Students in rooms • 10:15pm Chaperone Meeting – Review of next day’s events • 11:00pm Chaperones perform room checks

  7. Sunday, December 27thDay 1 in Orlando Considerations • Clothing • The students will be on the bus till 4pm with two stops for meals. Once into their rooms, they will be able to change, shower and be back down stairs in 1 hour for transportation to Blue Man Group. • Evening temperatures prior to midnight will be in the low 60’s to high 50’s. Dress an pack according to your students temperature thresholds. • Food - Breakfast on the road, paid for by Student. Restaurant will be picked by the drivers and coordinated to allow for the greatest number of students to be fed at one time. Restaurant types will include McDonalds, Burger King, etc… Typical highway fast food. - Lunch will be at CiCi’s pizza in Orlando. The price for the lunch is $6.99 and is all you can eat buffet. The price also includes a drink but not the tax. The restaurant is cornering off a large section for the band. • Dinner will be at Universal CityWalk and after the Blue Man Group Show. A full list of dining options are available by clicking on the this link 12/27 Dinner Options Most offer options from $4 and up, and the food court offers enough options to meet everyones needs in each group. • Blue Man Group - Must be at Blue Man Group theater by 5:30pm Bus will travel straight through to Orlando. All bags will be packed under the bus, so please have your student bring a small backpack or shoulder pack with any of the following: reading material, phone, schedule, snacks, personal hygiene items, contacts case and fluids, an extra shirt, etc… Review with your son or daughter what has been needed on some of our longer trips, and multiply it… Busses will stop for both Breakfast and Lunch PRIOR to getting to the hotel (Hotel check-in is at 4pm). Average HIGH Temperature in Orlando over this period in December is 71C. Average LOW Temperature in Orlando over this period in December is 50C.

Monday, December 28th • 5:00am wake up calls (Chaperones to call each of their rooms to make sure that the students are awake) • 6:00am Busses / Pit Depart from Doubletree Universal to McDonalds • 6:10am – 6:45am Breakfast to go from McDonalds (pre-arranged and staffed) • 6:45am Depart for West Orange High School • 7:30am Busses / Pit arrive at West Orange High School • 7:30am Pit Crew begins unloading equipment at West Orange High School • 8:00am Step off • 10:00am Chaperone Group to leave to get drinks at store and Subway order • 12Noon Lunch • 1:30pm Competition (all Chaperones move to pit duty) • 2:30pm Busses ready for students • 2:30pm Pit crew starts breakdown of Pit from Field Competition • 3:00pm Busses leave (uniforms will be taken off at hotel) • 3:30pm Pit leaves West Orange Competition • 4:30pm Roll Call on Buses – leave for Universal • 4:35 arrive at Universal – free time until 9:30pm • 9:15pm – Chaperones to call their lead student from each room • 9:30pm All students and chaperones meet at KidZone • 11:30pm Meet back at busses for transportation back to hotel • 12 Midnight - Students in rooms • 12:15am Chaperones perform room checks • 12:30am Chaperones Meeting – review next day’s events / timing

  9. Monday, December 28th Considerations • Clothing • Students will be in uniform early as they will have practice and then go directly into competition after lunch. Once through, they will change (same rules as with all competitions), bus back to hotel, change then go to Universal Studios for Day 1 of their pass. The reception is outside that evening AFTER the park closes, so dress warm (ambient temperatures in the upper 50’s). • Food • Breakfast. We will be leaving early in the morning (6am) and have arranged for a large McDonalds to be ready for us. They do this regularly, and state they can get 150 people out (with notice) in 20 – 30 minutes. Students will eat on the bus on the way to Practice. • Lunch. This will be Subway sandwiches and drinks brought to West Orange High School. THIS MEAL HAS ALREADY BEEN PAID FOR WITH YOUR REGISTRATION FEE. • Dinner. Back at Universal Studios. The band arrives prior to 5:15pm and students report back to KidZone for the Award Reception and Dance. Evening Meal is on the go and at the park. Award Reception will not have food. • Competition and Practice • There is no admission charge for the practice or competition • Awards Ceremony • Only for Students and Chaperones with wrist bands. Tuesday, December 29th • 9am Chaperones to call all rooms for wake up. • 9am Breakfast on their own (hotel bake shop, Golden Corral, etc) • 11am Chaperone call to Student Cell – 30 minute warning • 11:15am Busses open to fill (students in uniform) • 11:30am Roll call and depart for lunch, rehearsal • 2pm final field show rehearsal • 4pm Pit Trailer Load-up after rehearsal (Pit Equipment can be stored if we are not performing) • 5pm Approximate time of departure to Citrus Bowl Stadium for Champs Bowl • 5:30pm Arrival at Citrus Bowl Stadium • 6pm Pit to begin set up (if needed) • 7pm Pit moves into stadium (if needed) • 7:30pm Pre-game Field show for winner of the competition • 7:45pm pit to removed equipment (waiting on word on if it is stored until game ending) • 8pm Game time • 12 midnight busses and Pit depart for hotel (if no field show, Pit would be secured back at hotel) • 12:30am Bus and Pit arrive at Hotel • 1am Chaperones perform room checks • 1am Chaperones Meeting – review next day’s events / timing

  11. Tuesday, December 29th Considerations • Clothing • Students will be casual until the bus leaves for the final practice. Standard travel clothing (same for competitions) exists to the final practice. Uniforms will be worn once on Citrus Bowl Stadium property. Uniforms will be taken off once back to the busses. • Food • Breakfast. Depending on when they wake up, breakfast will be on their own (with Chaperone). There is a Shoney’s with a buffet in the parking lot, Palm Deli and Starbucks in the hotel and more. • Lunch. Busses leave at 11:30am and will arrive at 12noon at the Mall of Millenia. They have a substantial food court with food options from Chik-Fillet to Smoothies. Link is Mall at Millenia • Dinner will be at the Stadium and be Concession food. • Long Day • Because of scheduling, this is a long day and with tough times for meals. If your son or daughter has low blood-sugar or needs to eat smaller more frequent meals, consider packing a few energy bars for this day. • Sleep • By this time, the chaperones are beat, and the students are starting to tire. It is a late night but they will get to sleep in again – or as much as quad occupancy rooms can. Wednesday, December 30thDeparture Time: 11:30pm Considerations • Clothing • Students will be at the park for the entire day, but will be in uniform for the final time in 2009 and for the 2009 -2010 season for the Macy’s Holiday Parade. Students should wear comfortable walking shoes and attire for the weather of the day (highs around 70C typically) • For the ride home, students are advised to wear something comfortable. Similar to the ride down, they should have a small personal bag that has what ever they need. Their bags will be packed from 9am on Wednesday, December 30th till we arrive back to Battlefield. Unlike the trip down to Orlando, the students will be a little more apt to sleep on the way home.. • Food • Breakfast on their own. Again, this can be anywhere in the hotel food court to Shoney’s with their chaperones. • Lunch will be on the run within Universal Studios park. • Dinner is a pre-arranged dinner at Bubba Gump’s. Dinner will consist of Spinach dip appetizer, choice of Cheeseburger, Fried Shrimp, Fish & Chips, Caesars Salad or BBQ pork sandwich along with a chocolate chip sundae and drink. Dinner price, tip and gratuity are included in the registration price. • Busses • The busses will be parked at Universal and we will load up at park closing for transportation back to Battlefield. Student Purchase Needs • Review the Agenda Card. • Anything with a is a meal which they will have to pay. • We do not give a dollar figure for food per student, as not all students eating habits are the same. • Personal Spending Money • Phone Card if the student does not have a Cell Phone is suggested.

Packing Suggestions • What to think about.. • Purple Travel Shirt, Windbreaker or sweater, loose fitting pants, tennis shoes (arrive wearing on travel day, 12/26) • John Williams Black Band Shirt • 2-3 pairs of jeans/pants/shorts • 5 additional shirts • 4 sets of underwear/undergarments • 4 sets of socks • 1 item of sleepwear • 1 item of clothing for temperatures below 50 degrees (sweat-top) • 1 item of clothing for temperatures above 75 degrees (T-Shirt etc) • Tennis shoes (comfortable walking shoes for the Universal Studios) • Toiletries – yes, hotel bathrooms have shampoo, conditioner and soap, but remember there will be 4 people to the room. • Sunscreen • Toothbrush, toothpaste, comb or brush • Two or three band-aids in case for blisters • Deodorant / Antiperspirant • Personal Hygiene needs • Hat (if needed) • An empty bag to separate dirty clothes • Medicine (topical and oral - see rules for medicine) Each student is different, so we can not define what you should make sure they pack, but here are some items that they should not pack: Any type of weapon Lighters or anything with lighter fluid Expensive jewelry Limit electrical items that need to be in the bathroom (limited plugs and lots of people trying to do things at the sink) Shaving Cream Students should not have all of their money on their person at one time (most have not had lessons in responsible spending, and their money needs to last. Also why Universal Studios is the last thing we do).

Arrange to have at least one other (not three others) per room.
