  1. EPICS Design Review Template Notes: • Use the template as a guide to preparing your presentation….you may add, subtract, or rearrange as needed to tell your project’s story. • Information about how to use the templates will be written in italics, whereas content suggestions, prompt questions or examples of slide titles are in normal text. • Use actual project/prototype or pictures as much as possible in the presentation instead of describing the project with words.

  2. EPICS Design Review Template Notes, cont.: • You can use other templates/designs for your slides. Just make sure they are readable when displayed on the projector (especially if using a colored background or different colored text). • Each slide should include: team and/or project name and page number. • The name/logo of your sponsor should be included at least once during presentation. • If you use this template, make sure you insert team and project name where indicated in template.

  3. Team Name (Acronym)Design Review Date Location Insert Sponsor Name/Logo Here Insert Team Name Here

  4. Agenda • It’s always good to give reviewers the structure of the review and how many projects • Overview of community partner • Overview of team • Project 1 • Project 2 • Project 3 • Open Discussion Insert Sponsor Name/Logo Here Insert Team Name Here

  5. Project Partner: Name Background information such as: • Your project partner’s mission and who they serve • Summary of the activities the project partner engages in to fulfill their mission • How does your team support the work of your project partner? • Note: If your team has different Project Partners for each project, this information should be moved to within the project sections. 6. Team Leader Project 1 Project 2 Project 3 Project Leader Project Leader Project Leader Team Member Team Member Team Member Team Member Team Member Team Member Team Overview: Organization • Insert a team organization chart, showing the team leader(s), projects, project leader(s), and how all of the team members are distributed between projects (see example below) Insert Sponsor Name/Logo Here Insert Team Name Here

  7. Project #1 Insert conceptual diagram/picture/photo/clip art of your project here Insert Sponsor Name/Logo Here 7 Insert Team Name Here

  8. Introduction Identification of team members, including major and year This information helps reviewers to gauge the questions and comments. Insert Project Name Here Insert Sponsor Name/Logo Here 8 Insert Team Name Here

  9. Project Background What is the story of your project? (Note: the Project Charter should have this information.) When did project begin? (Overall timeline) What was the motivation for the project? (e.g., what device, tool, or process is the project partner currently using?) What goal or end are you trying to achieve with the project? Who are the stakeholders? What is the context of the project? Insert Project Name Here Insert Sponsor Name/Logo Here 9 Insert Team Name Here

  10. Design Requirements Project/customer requirements: what is the project required to do? Where did the requirement come from? How will you know when you have met them? Has it been met? Requirements should be measurable. A table is a good way to organize this information. Insert Project Name Here Insert Sponsor Name/Logo Here 10 Insert Team Name Here

  11. Project Overview Systems overview (what are the major subsystems and how are they connected?) Operational overview (how will the stakeholders interact with the device or process?) What is the focus of this design review? (What part(s) of the system or design process are included in the review?) What needs to be reviewed? 12. EPICS Design Review Template Notes, cont.: • The next slides should provide more detail information on the design decisions and the process used to reach those decisions related to the aspects of the project that are being reviewed. • Types of things to show and discuss: • Subsystem requirements and specifications and how they will be evaluated • Prototypes and mock-ups • Block diagram, circuit diagrams, and CAD models

  13. EPICS Design Review Template Notes, cont.: • Types of things to show and discuss, cont. • Summary of analyses that have been completed • Constraints being considered • Ideas considered & rationale for design decisions made • Results from preliminary testing

  14. EPICS Design Review Template Notes, cont.: • Types of things to show and discuss, cont. • Issues/problems encountered • Specific items you want feedback on • Risk areas • Project design • Project management • Gate reviews: Decisions to move from one phase to the next

  15. Budget Information Overall project budget (all semesters) Costs to date (prior semesters and this semester) Anticipated future costs Development versus “production” cost. How much you have spent developing this prototype or first version versus how much it would cost to replicate? If appropriate, can address cost of producing larger quantities. Insert Project Name Here Insert Sponsor Name/Logo Here 15 Insert Team Name Here

  16. EPICS Design Review Template Notes, cont.: • If delivering this semester, you should also include: • Maintenance Plan • Discuss plans for maintaining project out in the field • Include schedules, estimated costs, etc • User Training • Discuss how the users will be trained to use the project • Include a plan for training with estimates of time/cost/etc • Field readiness/testing • Bill of Materials

  17. Discussion of future plans Work to be completed this semester and detailed plans for accomplishing this work. Show Gantt chart for rest of the semester Work on the project to be completed in future semester and plans for accomplishing this work. Show overall timeline of project again showing how and when this will be accomplished. Estimated delivery date. Insert Project Name Here Insert Sponsor Name/Logo Here 17 Insert Team Name Here

  18. Questions? • If you have specific questions for reviewers, you should make those clear. Otherwise, • Also allow time for reviewers to complete evaluation sheets, or at least notes that they can use to complete evaluation sheets later.
