Decision & Reply Timetable 18th April: Decisions due on applications received by the 15th January Please note that this date may change in line with the Easter break. 5th May: Outstanding replies declined by default where last decision made by 31st March * There is a short window of 7 days to amend the decline – it is very important that applicants reply by the set deadlines Krys Daniels – Deputy Academic Registrar (Admissions)

  6. Decision & Reply Timetable 6th May: Reject by Default for applications received by 15th January, where no decision has been received * Essential that decisions on pre-15th January applicants are made and sent to Laura/Janet by Thursday 28th April to ensure that applicants are not rejected by default. If they are RBD’d the only way we can then admit them is through Clearing 7th June: Outstanding replies declined by default where last decision made by the 6th May (except for EXTRA applications) Krys Daniels – Deputy Academic Registrar (Admissions)

Decision & Reply Timetable 30th June: Outstanding replies declined by default where last decision made by the 10th June (except for EXTRA applications) 19th July: Reject by default for applications received by 30th June and outstanding EXTRA applications where no decision has been made Last date to amend application decisions where no reply has been received 26th July: All outstanding replied declined by default.   10. Fees Assessment The Fee regime for courses studied at HE level is different from the Fee regime for courses studied at HE level. It is very important that applicants applying for HE courses are assessed by the Admissions Office so that the fee assessment is the correct one for their course level. Changes Permitted Through UCAS • INITIAL APPLICATION – Decision made, no reply received • - Reject decisions: can be amended to either conditional or • unconditional provided no offers have been accepted until 15 July • - Conditional offers: conditions may be amended until 15th July • following discussion with the applicant provided offers have not been • accepted. Please let Laura/Janet have a copy of the email • agreeing the changes • Withdrawals – applicants must contact UCAS if they wish to withdraw • their choice at Oxford Brookes, we cannot withdraw their • applications. Waiting Lists • 1st September – 30th June • If you have made all the offers for your course but still have applications awaiting a decision, please note that it is not possible to hold applicants on a waiting list during the ‘live’ application cycle. If you are not able to offer a place then the application must be rejected to enable the applicant to accept/decline other offers. • July, August and September • If applicants, eligible for clearing, are contacting you in relation to a place buy you are still awaiting results for offers already made then it is possible to place applicants onto a waiting list.   15. Summer Admissions Process July/August/September • It is very important that we are able to contact the College during the above period: • To confirm, follow up, or request results for an applicant • To check confirmation decisions if needed • To receive information about applicants being accepted via the • Clearing/RPA route • Please ensure that your contact in the Admissions Office has contact details for staff able to help with the above issues. Clearing Guidelines • IF THE APPLICANT HAS ALREADY APPLIED VIA UCAS, BUT IS NOW IN CLEARING, ANY OFFERS MUST BE MADE VIA THE ELECTRONIC CLEARING PROCESS. • ONCE AN OFFER IS MADE BY THE COLLEGE, PLEASE ENSURE THAT THE APPLICANT HAS THE CORRECT COURSE CODE WITH WHICH TO APPLY.   17. Clearing Guidelines • Once an offer is made, they must then: • Refer themselves to Oxford Brookes via UCAS Track for the • course code quoted in the offer letter • Once the offer is confirmed they will be sent the formal offer • letter • Applicants already in UCAS CANNOT apply via an RPA.   18. Applicants not in UCAS Clearing • A Record of Prior Acceptance (RPA) is used for applicants who only wish to attend Oxford Brookes and have not been in the UCAS application cycle this year. • Follow the previous guidelines for the offer making process. • Advise the applicant that a Record of Prior Acceptance and an informal offer letter will be sent to them.   19. Applicants not in UCAS Clearing • Applicants must complete and sign the form and return the RPA to Admissions, ASAP. Local applicants are welcome to come in and complete it. • On receipt of the RPA, the official offer letter will be sent and the form entered onto the UCAS system.   20. Enrolment Timetable for September • Courses enrolling at Oxford Brookes University • 9 Sept: applicants linked to become students • 14 Sept: green enrolment forms printed • 19-22 Sept: applicants enrol with the OBU School at agreed time. Krys Daniels – Deputy Academic Registrar (Admissions)

  22. Enrolment Information • Enrolment information is sent to applicants once they become UF (Unconditional, Firmly Accepted) on an ongoing basis from mid August until Week 0. • Oxford Brookes Sends: • Student Payment Instruction Form detailing the cost of course • Letter detailing the enrolment process at Oxford Brookes • Use of Student Data leaflet Krys Daniels – Deputy Academic Registrar (Admissions)
