Introduction to Access 2007. With V ictor Soskin. What is Access. Access is a database program. It allows you to Store Update Organize Sort Search your information. Is it the same as Excel. No! But you can do some of the same things in Excel that you do in Access.

  2. What is Access • Access is a database program. It allows you to • Store • Update • Organize • Sort • Search your information

  3. Is it the same as Excel No! But you can do some of the same things in Excel that you do in Access. Like Access, Excel stores information in tables. Excel is good for calculating. Access is good for managing data. With a lot of complex linked data you really need Access.

  4. Do I need to learn Access? • Probably not. • For your personal life. • As a classroom teacher. • But if you want to • Manage a business • Organize an institute or department • Get an ICDL unit • Then you probably do!

  5. Have I ever used a database? Yes! Every day. The portal stores information about students, grades, attendance, teachers. Your phone has an address book which is a simple database Every time you log in to hotmail or BBV you are working with a database.

  6. What can I do in Access? Create Tables to store data Create Forms to enter data or view it on line Create Queries to search your data Create Reports to print out your data.

  11. Getting Started Open Access. Create a new database. Save it in a sensible place Or open an old database

  12. Notes You cannot change a database if it is in a folder you cannot write to. You only need to create a new database if you are starting a new project You save your work at the start of your session

  13. Plan a new Table First you need to plan the table. For ICDL the examiner will do that for you. Here is a sample plan.

  14. Create a new Table Change to Design View Give your table a name Enter the information Change back to datasheet view (save it first)

  15. Enter Data • Copy the following data. • Add some more records • yourself • the person next to you

  16. Try Again • Create a database (Office button-New) • Keep information about music you like. • ID • Song Name • Singer • Style • Year • Etc

  17. Open a database Copy the database Music from G drive-Victor Open the database Click on the Navigation Pane

  18. Open a Table and look at it Double click on the name of the table. You can see 7 fields You can see 157 records You can search for records using the Find Button

  19. Find a record Use the find button Choose which field to look in. Choose where to look

  21. Create a simple form While the table is open. Choose the Create tab Select Form

  22. Create a better Form Choose.. Create More Forms Form Wizard

  23. Where did it Go? Go to the Navigation Pane Choose All Access Objects.

  24. Create a report Go to Create Choose either the simple Report Or the better Report Wizard

  25. What is a Query? • A search • You can choose … • Which fields (columns) to show • What sorting to do • Which records to view
