Aims Student Organization Advisor • Key to a successful and long term organization • Contributes to planning and organizing activities – does not dictate or control the organization • Present at all activities and meetings • Works with the organization’s treasurer • Provides leadership development experiences • Refer to Student Organization Handbook (section XI)

  4. Aims Student Organization Advisor • Provides information and suggestions • Points out pitfalls and best practices • Shares enthusiasm • Understands the organization’s mission • Provides training on responsibilities and organization direction

  6. Probation and Suspension Policies SGA Decision • Probation: • Rest of year and next full academic year • May appeal • If another violation may go on suspension • Suspension: • Funds relinquished • After next academic year may apply for recognition

  7. Requirements • Off-campus Community Service Project • Not a donation • Co-sponsored/Collaboration Event with ASACC – 3 Members • Help SGA or SPEC as requested • SGA or SPEC assists your club as requested • 1. Off-Campus • Maintain • Add: • Pictures • Events • Officers • Meetings

  8. Funding Award Changes General Assembly of Student Organizations Meeting - One member in attendance/club awarded $150 Special Projects – SGA assistance awarded on a case-by-case basis $100 per event up to 3 events

  9. Funding Awards Advisor Points – up to $180 Fundraisers – special procedures for raffles Donations Dues

  10. Aims Student Organizations’ Webpage • Each club has its own webpage • Updated and maintained • Club mission statement and advisor’s information • Can also include: • Meeting times • Photos • List of events • List of club officers

  11. General Assembly of Student Organizations • Only one meeting per month • $150 awarded for one club member in attendance • GASO – Vice Chairperson (minutes) • Networking opportunity

  16. Club Procedures Purchasing – “P” Card • Check club balance • Official Function Form • Activity Event Request • “P” Card Check Out Sheet – follow rules • Aims is Tax Exempt • Original Receipt to the Student Life Office • Return card the same day

Club Procedures Purchasing – Purchase Order • Check club balance • Official Function Form • Activity Event Request • Purchase Order - Tax Exempt • Contact Vendor – get a quote • Submit Requisition Form signed by advisor • Need Director of Student Life’s signature • Get PO# • Complete Purchase • Notify Student Life when product is delivered for release of payment

  18. Club Procedures Raffle • Official Function Form • Activity Event Request • Must coordinate with Randee Morris • Additional info required submitted to the Student Life Office • Turn in information 1 month in advance

Club Procedures Field Trip/Conference • Check club finances • Travel Request completed by advisor • List of students attending with A#s • Web print outs of registration fees, room fees, etc. • Activity Event Request • Student Travel Agreement • Pre-conference, Conference, and Post-conference Forms • Turn in information 1 month in advance

  20. Club Procedures Changes Submit changes to Randee Morris • Membership • Officers • Advisor(s) • Meeting times and/or locations

Club Procedures Advertising • All advertising must be approved by the Student Life Office • Graphic assistance is available – clubs pay for materials • Submit - Graphic Request Form 2 weeks in advance to Patty Schulz, Student Life Office, CC131 • Clubs must remove • Only post on bulletin boards
