  1. This is the Campus Mail Tutorial for Wichita State University. This presentation will aid you in preparing your campus mailings for the Campus Post Office to address and distribute. For all other mailpieces, please visit the WSU Campus Post Office website at www.wichita.edu/mailings for additional tutorials. By using this tutorial to design your mailpiece, you agree to use all information here completely and correctly. Failing to do so may cause your mailing to be unusable.

  2. The Campus Post Office is able to print names and campus addresses on blank mailers for distribution on campus. In order to take advantage of this service you only need a mailing list of recipients at WSU and an adequate number of blank mailers for us to print and distribute. • For more information on mailing lists, please visit the mass mailings section of our website at www.wichita.edu/mailings and click on “Mailing Lists” under the left navigation on the page. • For the address printer to handle and print your mailers, a few considerations greatly help in providing quality service for your mailers. We will look at four different types of mailers for on-campus mailings: • Envelopes • Large envelopes • Cards • Folded mailers

  3. For envelopes, only a few considerations will be needed. The contents of each envelope will need to be folded and inserted. If you are sending many pages of paper, machine folding normally provides the best folding for a small envelope. You may also want to consider using a larger envelope. We are able to machine-seal each envelope for you before we address them. However, because we are unable to match addresses on your list to specific envelopes, personalized content is not possible. For best results in addressing, do not use envelopes which are slick or glossy in appearance, nor envelopes which stick together.

  4. For large envelopes, most of the same considerations apply as for normal sized envelopes. However, the one difference is that not all large envelopes may be machine sealed by our office. Look at the examples below: These we cannot. You must seal them yourself. These envelopes we can seal.

  5. For card mailers, the paper you use is the most important choice. As with envelopes, slick or glossy paper will make addressing the cards much more difficult. Ink will smear or stick the cards together. Choosing a paper which is easily printed on will eliminate this problem. The paper you use for your cards will also need to be of a minimum thickness. This allows the address printer to handle your cards and process only one at a time, instead of sorting more than one card at a time. Paper which is a minimum of 0.009 inches thick should prevent this from happening.   6. For folded mailers, a few additional considerations may be needed. In addition to using paper which we can print on, the minimum thickness depends on not just how thick the paper is but on how many layers of paper your mailer has. The minimum thickness is again 0.009 inches. While all of the folded mailers that are sent through the U.S. Post Office are required to be tabbed closed for mailing, this is not usually required for campus mail. Only if your mailer has multiple separate pieces of paper which are not secured together will we need to tab your mailing. Please do not staple your mailer shut. Staples may harm our address printer, so we cannot address pieces which have staples holding them shut.
