Technical Requirements • Sufficient computer hardware as per norms of project arrow. • Apart from1 node for every counter , 20% of the total number of counters to be identified as standby nodes and for 50% of the number of postman back office nodes need to be provided. 1 node for each and every supervisor. • Barcode scanner for all MPCM and for each standby node + 1 for every 15 postman. • The number of server is decided depending upon the nodes • 80 column printer one each for all counters and also one each for stand by node + 25% of back office nodes. contd…

Modes of procurement contd.. • The indent to P S D is sent half-yearly in S K 2 in quadruplicate through divisional office and from there it is forwarded to Postal stores depot. • Care should be taken to consider the requirement for the next six months • A buffer stock need to be kept considering any time lag in replenishment of the stock. • Head office sends a regular indent to C S D as per the stamp requirement for the next month. • Any extra indent needed it is called supplementary indent and both are done in Philsim.
Innovative Material Management A group of offices can create a pooling system where information of excess forms can be shared and needy offices can procure the same in case of urgency. We may use a shared spread sheet to update the stock of the forms, barcodes etc. so that the needy offices can know the stock position of others and get forms from others.

PREVENTIVE MAINTENANCE • Purchase with warranty & spares. • Safeguard the electronic equipments as per guidelines • Requirement of electricity, water, space, atmospheric conditions, etc. must be taken into consideration • Well equipped maintenance cell must be available • Communications between maintenance cell & suppliers of the equipment. • All equipment must be operated as per instructions with trained staff • Monitoring annual maintenance contracts. (AMC) • Follow-up of maintenance & repair services • Repair of equipment
Criteria for condemnation The equipment has become: 1. Non-functional & beyond economical repair 2. Non-functional & obsolete 3. Functional, but obsolete 4. Functional, but hazardous 5. Functional, but no longer required
