Information about Excel • Spreadsheet – the software or entire workbook file • Workbook – the basic document .xls A WORKBOOK contains WORKSHEETS • Example a Phonics workbook for Reading • Worksheets – a single sheet of data or tabs at the bottom of you workbook • Example each workbook page in the Phonics workbook

  6. Information about Excel • A regular computer with excel can have a workbook with 255 worksheets • A worksheet can have 256 columns and 65,536 rows. --- 32,000 Characters in a Single Cell  • In a single worksheet there can be 16,777,216 cells. • Amazing Huh?

Formatting Worksheets • Worksheets • Add • Right click the worksheet tab that you want to appear after the new worksheet • Select Insert on the shortcut menu • In the insert dialog box (general tab), select the Worksheet icon and click Ok • Delete • Right click the worksheet tab that you want to delete • Click the delete • Move a worksheet • Right Click the sheet tab you want to move • Select Move or Copy on the shortcut menu • In the Before Sheet list, select the desired position • Copy a worksheet • Right click the sheet tab you want to copy • Select Move or Copy on the shortcut menu • IN the Before sheet list, select the desired position • Select the Create a Copy • Click ok

Formatting Worksheets • Insert Clip art • ON the Insert menu, point to Picture and select Clip Art • Type your search text into the Search text box • In the search results, click the image to insert it into the file • Drag the graphic to the desired position and drag a handle to resize it, if necessary • Insert Picture • On the Insert menu, Point to Picture and select From File • IN the Insert Picture dialog box, navigate to the location of your picture file • Click the picture file and click Insert • Drag the graphic to the desired position and drag a handle to resize it, if Necessary

Formatting Worksheets • Create and Modify a Graphic • Click the Drawing button to display the Drawing toolbar Or • On the View Menu, point to Toolbars and select Drawing • Select a shape or and Auto shape from the Drawing toolbar • Click in the worksheet to insert the graphic • With the graphic selected, open the Format menu and select AutoShape • In the Format AutoShape dialog box, make the desired changes and click OK

Formatting Worksheets Comments (Adding and Editing) • Select the cell in which you want to add a comment • On the Insert menu, Select Comment • Type the Comment • Click outside the comment to close the box • To Edit, select the comment • On the insert menu, select Edit Comment • Edit the comment • Click outside the box to close

Formatting Worksheets • Sort, Formats, Find and Replace • Sort • Click on Data on the Menu Bar • Select Sort • Select Type, Header Row, and Options • Formats (Numeric Formats, Dates, etc) • On the Format Menu, select Cells • On the Number tab, Select a Category • Set the number of Decimal places or type of format needed • Find and Replace • On the Edit menu, Select Replace • In the Find what box, type the data you wish to replace • In the Replace with box, type the replacement data • Click Find Next • Click Replace to replace each occurrence individually or Replace all • Pivot Tables • Select Data • Go to Data Menu … Pivot Table and walk through wizard • Select and drag data you want to use – at any time double click to change options • Conditional Formatting • Select Data • Format … Conditional Formatting.. Follow Wizard • Create Criteria for the information want for User

Formatting Worksheets • To Enter a Formula • Select Cell • Type = (Equal Sign) to begin the formula • Type the remainder of the formula, using operators as desired… Press Enter • Create an Absolute Reference • After entering the cell reference to the cell, press F4 • Type the remainder of the formula… Press Enter • Enter Function Manually • Select the Cell • Type = and the function name (such as SUM) • Type an opening parenthesis, enter the arguments, and type the closing parenthesis…Press Enter • Enter A Function using the Functions • On the Insert menu, Select Function • Select the desired category and function • Click OK • Enter the function arguments • Click OK

Formatting Worksheets • Create Charts • Select the data you want to chart • Click the Chart Wizard or Insert menu, select Chart • In step 1 of 4, select the chart type and sub-type • In step 2 of 4, select the chart data options • In step 3 of 4, make the various title and subtitle and label selections • In step 4 of 4, select As new sheet or as object in current sheet. Click Finish • Format Chart • Select the portion of the chart you want to modify • Select the desired command on the Format menu • Make the desired changes in the dialog box • Click OK • Or….. Double click on any portion of the chart that you want changed

Formatting Worksheets • Hyperlinks • Insert Hyperlink • Type the text or graphic you want to use • Select the cell containing the information • Click the Insert Menu, select hyperlink • In the Link to section, select Existing File or Webpage • IN the Look in Box, navigate to the file you want to link to and click OK… • To Edit • Click and hold to select the hyperlink • On the Insert Menu, Select Hyperlink and Edit • Or Right Click… you can Right click to Remove
