  1. The Importance of Audience Groups and Content Placement Presented By Roy Phillips

  2. Bio Roy Phillips I have been in DP, IT, IS, ICT ??? for more years that wish to remember. Initially as a analyst programmer on IBM Mid-range systems i.e. S/36, S/38 and AS/400 here in Australia as well as the UK and New Zealand. My baptism with SharePoint was at FESA in 2005 when I project managed the design and implementation of their first intranet site deployed on SharePoint 2003. Currently on contract to the Fire and Emergency Services Authority WA, supporting FESA’s corporate Internet (non SharePoint) as well as current Intranet and Extranets, on SharePoint (MOSS) 2007 technologies.

  3. This Presentation will cover • The three main audience groups and tying them to content placement • Why content placement should be planned • Content placement within Internet, Extranet and Intranet domains and review a simple template that will assist you • The importance of content ownership • Web Parts that will reduce duplicating content placement • Demonstration of FESA’s Emergency Service Volunteer Extranet

  4. Audience Groups • Internet users • Extranet users • Intranet user • No access restrictions • Require to register to obtain user name and password • Company staff provided with network access

  5. Content Placement Planning Considerations • Which audience group/s will require access to your content? • Identify the owner of the content, and those who are responsible to publish. • Is the content required to be accessed by multiple audience groups? • Is the content considered confidential? • Is there a standard format for published content i.e. PDF, Word etc. on your sites .

  6. Planning template that will assist you with content placement

  7. The Importance of Content Ownership • Assist with granting the appropriate permissions to administer and manage content more efficiently • Assist with allocating document library structure within your SharePoint sites • Improves currency of content for users

  8. DO YOU KNOW WHERE YOUR DATA IS STORED FOR UPLOADING TO SHAREPOINT? 12 December 2005 Data Take-up Preparation As Local Intranet Administrators you will need to know where information (content) has been stored, this includes Circulars, Memos, Reports etc. required for uploading on the new FESA Intranet (SharePoint Portal). I suggest that you review and select most recent information first. If you are unsure please ask for assistance in locating the required information from your network drive.

  9. Use Web Parts to Reduce Duplicating Content Placement • Query Web Part is an effective way of grouping content from other sources into a single access point • Summary Link Web Part is also an effective way to access content owned by other owners

  10. Summary • Identify audience groups • Identify content ownership • Determine the appropriate placement of content • Review content for take-up • Allocate appropriate permissions to those who will publish content to your SharePoint sites • Consider using web parts to reduce content duplication
