  1. Blog 3: Edit911.com Use this Client-Retaining Checklist to Proofread your Business Documents You’re about to send this important document to the client, but you’re unsure about the quality. There’s no time, so you send it anyway. The result: the client is either okay with it, does not respond positively, or worse, gets back with a complaint. Now, your boss is mad at you, and you do not know how to solve the situation. If you’ve found yourself in this situation too many times, a serious checkpoint upgrade is required. You do not want to lose clients because of a business document that could have developed trust and credibility. So, here’s a proofreading checklist that you should adopt to prevent losing a client. Client-Retaining Checklist to Proofread your Business Documents We recommend a few basic proofreading techniques to help you get by with business documents needed on the spot. Print and read-aloud - Once you have edited the document, print it out and read it aloud, marking the areas that need correction. Be sure to print the document in large font to quickly read and identify mistakes such as spelling errors and punctuation. Follow company guidelines– Your company may have a fixed set of guidelines to follow. Make sure to create a checklist for them. Remove unnecessary words – Sentence fillers lead to lengthy sentences. Make your sentences shorter and straightforward. Words like ‘very’ and ‘basically’ are not needed. Clarify complex or new jargon –Is there a new term you’ve mentioned in the business document? If so, will your client understand the word? Regardless, any new terms or acronyms need spelling out. Make your client’s life easy. Check sentence constructions – Review each sentence, word-for-word. Make sure they have a subject and a verb, and the meaning is clear. From paragraph to topic flow –Read the document from the client’s point of view. Remember that they’re going to read your paper for the first time. They should understand all your points in the first read. So, make sure that the topic flows
