Welcoming a Guest or Group • Say who you are (if your audience doesn’t know you) or on whose behalf you are speaking • Identify the person or people your are welcoming • Thank the guest or group for coming • Tell why the occasion is especially important or significant • Make sure to set a good tone for the event • Warmth & sincerity in your words and behavior are important

Introducing another speaker • Briefly preview the topic the speaker will be speaking about • Give the audience reasons to like the speaker you are introducing • Share interesting and relevant parts of the speaker’s background • Show the value of listening to the speaker • Enhance the credibility of the person you are introducing • Showcase the qualifications of the speaker • Share interesting biographical information about the speaker

  4. Tips for a successful introduction • Plan your remarks carefully in advance. Do not attempt an impromptu approach • Your introduction should appear spontaneous and natural. Practice so you do not have to rely on your notes • Look at the audience • Keep it short • Make sure to take a moment and ask the speaker what he or she would like for you to say

  5. Honoring a person or an institution • Be accurate in the names and details • Be sensitive to culture, gender, and personal desires • Check your information with the person you are honoring • If you cannot speak directly to the honoree, ask an extremely authoritative source

  6. Giving a toast • Choose the time wisely • Be prepared • Look spontaneous • Be brief • Be visible and audible • Be inclusive • Be sober • Be appropriate

Presenting an award • If everyone knows who is receiving the award, mention the person’s name early in your remarks • If the audience doesn’t know you may want to wait and build suspense-mentioning the person’s name at the end • State the name and nature of the award • State the criteria for selection • Give specific examples of how the recipient met the criteria • Present the award • Be sure the person receiving the award is center attention

  8. Accepting an award • Express your sincere gratitude • If it is a surprise-show your surprise • Acknowledge and show appreciation to contributors • Describe how the award will make a difference • Say thank you again
