  3. Recommended Steps / Principles • Key principles for developing a research proposal • Begin as early as possible • Take advantage of all the resources and expertise around you

  4. Recommended Steps / Timeline • 5 minutes after a research idea crosses your mind or as soon as you decide to resubmit a previous proposal • Contact the Research Consultation Group and set up a meeting to discuss your idea and potential funding sources

  5. Recommended Steps / Timeline • 3 months before the proposal due date • Participate in a Specific Aims Meeting • Alert your Contracts and Grants Analyst • Send him/her a copy of the funding announcement

Recommended Steps / Timeline • 2 – 3 months before the proposal due date • Meet with a representative of the Design and Data Core (Statistics) Group • Dr. Lynn Brecht, the Director can make the assignment • Revise your specific aims • Review with consultants (School of Nursing and co-investigators)

  7. Recommended Steps / Timeline • 8 – 10 weeks before the proposal due date • Collect Biosketches for key personnel and consultants • Reformat biosketches as necessary • Check articles for PMCID numbers • Identify performance sites and collect subcontract information • Solicit letters of support

Recommended Steps / Timeline • 8 weeks before the proposal due date • Draft the Approach section of the Research Strategy • Send to key consultants for feedback • Review data collection, management, and analysis plans with statistical consultants • Review power analysis along with the specific aims

  9. Recommended Steps / Timeline • 6 – 7 weeks before the proposal due date • Develop the budget and draft the budget justification • Meet with your assigned Contracts and Grants Analyst to set submission dates for proposal

  10. Recommended Steps / Timeline • 5 – 6 weeks before the proposal due date • Revise the Approach based upon comments from consultants and co-investigators • Don’t forget to include a research timeline • Draft Significance and Innovation sections

Recommended Steps / Timeline • 1 month before the proposal due date • Send Specific Aims and Research Strategy (Significance, Innovation, Approach) to Co-Is, consultants, and selected colleagues • Ask for comments within 7 – 10 days • Contact IRB Specialist (Mayra Lomeli) to review human subject requirements

Recommended Steps / Timeline • 1 month before the proposal due date Confirm that all letters of support, biosketches, and subcontracts are in hand • Contracts and Grants Analyst needs budget and subcontract information • Write the Facilities and Resources section • Use the boiler plate write-up from the SON website with specifics for your research

  13. Recommended Steps / Timeline • 2 – 3 weeks before the proposal due date • Revise the Research Strategy and prepare the final draft • For scientific and editorial feedback send the Proposal text to the Associate Dean for Research (Ann Bartley Williams) or Designee (Priscilla Kehoe)

  14. Required Steps • Grant materials MUST adhere to the following requirements • Arial typeface • Font size 11 points or larger • No pagination • At least ½ inch margins • No header or footer • Each part/section in its own Word or PDF file

  15. Required Steps / Timeline • Due 1 month before the proposal due date • Budget and Budget Justification • Modular budget only needs Personnel Justification • Subcontract information • Site PI name, email address, and telephone number • Site financial contact information

  16. Required Steps / Timeline • Due 3 weeks before the proposal due date • Grant title • 81 character limit including spaces • No illegal characters (i.e. &, -, *, %, ?, #, :, +, and -) • List of key personnel • Your eRA Commons username • Performance site location addresses and phone numbers

  17. Required Steps / Timeline • Due 10 business days before the proposal due date • Cover letter • Letters of support • Biosketches for all key personnel • Include personal statement • 15 publication limit with PMCID numbers • 4 page limit • Facilities and Resources

Proposal Responsibilities • Budget and Budget Justification • Collaborative • PI provides budgetary needs • Contracts and Grants Analyst puts together budget figures • Final budget ironed out between PI and Contracts and Grants Analyst • Contracts and Grants Analyst prepares Budget Justification skeleton • PI provides Budget Justification specific descriptions

  24. Proposal Responsibilities • Subcontracts • Collaborative • PI provides the Contracts and Grants Analyst with the other site information • Contracts and Grants Analyst, PI, and subcontract site will work together to collect all necessary information and paperwork

Proposal Responsibilities • Sponsor Required Forms/Documents • PI Initiated • PI responsible for these documents • Contracts and Grants Analyst will collaborate with PI on edits • Contracts and Grants Analyst will appraise the PI on available templates/generic narratives and supply them to the PI upon request • Contracts and Grants Analyst will clarify version control and file naming process with the PI

Proposal Responsibilities • UCLA Research Administration Forms/Documents • Fund Manager Initiated • Contracts and Grants Analyst will complete these documents • Contracts and Grants Analyst is responsible for collecting needed signatures • Alternative arrangements for collecting signatures can be made to ensure efficiency and timeliness

Proposal Responsibilities • Proposal Assembly for Submission • Fund Manager Initiated • Contracts and Grants Analyst will assemble the proposal submission • Contracts and Grants Analyst will collect the institutional signature • If the PI assembles the proposal for submission, the Contracts and Grants Analyst will review

Proposal Responsibilities • Protection of Human Subjects • PI Initiated • PI identifies the need for IRB • Before proposal submission, PI contacts IRB Specialist for advise on human subjects portion of the proposal • After proposal is submitted, PI contacts IRB Specialist if assistance is needed with webIRB application
